The Service Planner communicates the repair process to all parties involved, ensures continued job progress, and coordinates resources to support the repair process. The goal is to deliver an invoice on the same day that the job is complete. This role involves planning repair jobs through various areas, vendors, and technicians, resolving client complaints on billing and warranty issues, and administering, monitoring, and reporting on the accuracy of estimates/quotes for segment repairs. The Service Planner monitors and communicates the repair process for their assigned area, ensuring continued job progress through documentation in the manager program and communication with leads and technicians. They review client repair history and make policy and warranty recommendations to supervisors, discussing and resolving discrepancies before billing review. A key responsibility is to monitor and manage each work order daily, ensuring a Pro-Forma summary is ready for the client upon completion of repairs, and that invoices are provided the same day repairs are completed. Continuous review and improvement of Service Systems, WIP, Time reporting, Expenses, and Sublet are expected, along with standardizing and updating procedures for reviewing and closing work orders to ensure accuracy and timely invoicing. Priorities are assigned to open work orders to meet WIP goals, and all work performed must align with the estimate/quote. If a job scope changes, a change-order must be submitted for client approval before proceeding with updated repairs. Supervisors are briefed, and reports are submitted on monitoring measures such as last-date-of-labor to invoice and work leaving the shop. The role also requires working safely and adhering to all company policies and procedures.
