About The Position

This is a full-time, non-exempt (hourly) position supporting the National Training Center Training Support Contract (NTCTSC) at Fort Irwin, CA. The NTCTSC integrates live, virtual, and constructive (LVC) training support for the U.S. military. The role involves receptionist duties, service order dispatching, and ensuring compliant operations related to physical and personnel security, access control, and equipment management. The position operates on second and/or third shift.

Requirements

  • HS diploma or equivalent.
  • One year experience as a receptionist or equivalent position handling multiple phones, directing incoming and outgoing calls.
  • Possess and maintain a valid California Driver’s License and maintain Post driving privileges.
  • Fluent in English, with ability to read, write, and speak.
  • Must be a U. S. citizen.
  • Must be able to obtain and maintain a SECRET security clearance.
  • Must be able to lift a maximum of 50lbs.
  • Must wear appropriate personal protective equipment.

Nice To Haves

  • Some undergraduate studies in business or education.
  • Previous administrative or secretarial experience.
  • Military experience in the processing of work orders.
  • Experience in the use of MAXIMO and Microsoft Office software products.
  • Able to work long hours on a 7-day a week scheduled days, nights, and swing shifts.
  • Must be able work in extreme weather conditions (heat, cold, wind).
  • Must be able to climb in or on military or commercial equipment.
  • May be required to travel CONUS/OCONUS to support unit training.
  • Must be deployable within CONUS for up to 180 days.

Responsibilities

  • Perform receptionist duties including greeting visitors, determining the nature of their visits, and directing them to the appropriate persons.
  • Manage visitor access by inventorying and issuing 'Escort Required Badges' (yellow badges), ensuring proper logging procedures (DA Form 1999) are followed, and accounting for badges upon visitor departure.
  • Screen visitors for proper access to the command-and-control center and ensure no unauthorized multi-media devices are taken into secure areas.
  • Receive and transfer phone calls, record and transmit messages, and keep records of calls placed.
  • Provide information to callers and visitors.
  • Maintain accountability and control of all keys, PKI cards, radios, NVGs, and other sensitive OCC items.
  • Operate the Symmetry Professional system to verify authorized access to buildings and rooms, and/or issue Temporary Unescorted Access Badges.
  • Process and print Unescorted Access Badges (permanent badges) for appropriate building access.
  • Issue badges appropriate to clearance for building, room, and/or area access.
  • Maintain the Range Operations Log for all NTCTSC personnel traveling within the NTC Maneuver Area.
  • Maintain the Flight Operations Log for personnel utilizing Ridge Runner helicopters.
  • Receive and record all trouble tickets and work requests on the OCC Daily Operations Log.
  • Create, review, edit, and conduct searches for MAXIMO work orders.
  • Contact maintenance or technical personnel for all trouble tickets and work requests.
  • Perform routine clerical work, including drafting documentations in MS Word, producing and maintaining MS Excel Spreadsheets, and producing MS PowerPoint presentations.
  • Interact with government representatives, customers, site management, and sub-contractors to ensure compliant operations.
  • Manage physical and personnel security (badging) and access control.
  • Handle facility requests for installation, activation, service, repair, or de-installation of contractor equipment or government furnished equipment (GFE).
  • Schedule service calls and dispatch service crews.
  • Follow up with customers to ensure satisfactory performance of services.
  • Maintain records of service calls and work orders.
  • Relay special instructions to mobile crews and other departments using radio telephone equipment.
  • Maintain visibility on the overall activities of various teams to meet mission requirements.
  • Adhere to company, site manager, division manager, section, and team leader directives, policies, procedures, and practices.
  • Support quality/ISO, security, and safety training programs and directives.
