We are currently looking for a Service Operations Coordinator to support our fast-paced Service department in Brookfield, WI. Requirements

  • High school diploma or GED
  • Minimum of 3 years of experience in administrative support, operations coordination, dispatching, accounting support, or a related role
  • Strong organizational and multitasking abilities
  • Strong communication and customer service skills
  • Ability to prioritize work and manage competing deadlines
  • Basic accounting and mathematical skills
  • Proficiency with Microsoft Office and general business software systems
  • Strong attention to detail and follow-through

Nice To Haves

  • Experience in the electrical, construction, or service industry
  • Experience with dispatching or service coordination
  • Experience with Spectrum, BuildOps, or similar ERP/accounting software
  • Familiarity with job costing, billing, or project coordination
  • Associate degree in business administration, accounting, project management, or a related field

Responsibilities

  • Coordinate schedules and service assignments between customers, Service Managers, and field technicians
  • Maintain dispatch boards and scheduling systems to support daily operations
  • Answer incoming service calls and provide excellent customer support
  • Prepare and process customer invoices and billing documentation
  • Assist with accounts receivable follow-up and collections communication
  • Enter and track change orders, permits, inspections, and related project documentation
  • Coordinate bonding applications, insurance certificates, lien waivers, and qualification forms
  • Support purchasing activities, purchase orders, and material returns
  • Process weekly technician timesheet reporting
  • Enter and maintain customer information in company software systems including BuildOps and Spectrum
  • Support Service Managers with operational coordination and customer communication
  • Conduct customer follow-up calls to ensure satisfaction with completed work
  • Assist with continuous improvement efforts and department organization
