About The Position

As a Service Coordinator, you will be responsible for sign repair and maintenance throughout the United States using both internal and external resources. This role involves dispatching customer requests, managing vendor partnerships, tracking service calls, generating quotes, and ensuring customer satisfaction.

Requirements

  • 1 -3 years of service coordinator experience is a plus
  • Must have a customer service orientation with an understanding of how to provide outstanding customer service.
  • Excellent verbal and written communication skills
  • Good vendor management skills
  • Ability to handle pressure situations
  • Proficient in word and excel. Comfortable with computers and technology
  • Work in fast pace environment
  • Must be able to work in team environment
  • Detail oriented and very organized.

Nice To Haves

  • Knowledge of M1 and Smartsheet is a plus

Responsibilities

  • Dispatch via purchase order or internal work order daily customer requests throughout the United States, within customer required time frame and with all client deliverables
  • Help to qualify, select, negotiate and manage vendor partnerships throughout the country
  • Maintain geographic vendor list with data to track vendor performance in each area
  • Track all active calls from creation to billing with all required paperwork and follow up
  • Reviews and enters work orders and/or Purchase Orders into a computer in order to automate the scheduling process.
  • Track all relevant work order documents as required and defined in the company process
  • Confirms that service call is on the service team’s schedule within required time frame, that they are there on the day promised and the work was complete per the requirements
  • Generates quote for customer if “Not to Exceed” price will not cover the cost of repair
  • Tracks overall profitability for each service call
  • Confirms that all information for customer invoicing is accurate and completed on a timely basis
  • Reports status of all service work orders to customer on a regular basis with great customer service
  • Coordinates weekly scheduling meeting with internal team and customers
  • Confirms vendors have a current Certificate of insurance and W-9 on file with company
  • Assist internal project management team as required and time allows
