About The Position

The Maintenance Service Coordinator will report to the Manager of Fleet Services. The Maintenance Service Coordinator plays a crucial role in ensuring the smooth execution of maintenance services within an organization. This role involves coordinating service requests, scheduling maintenance activities, and liaising with maintenance technicians and external service providers. The ideal candidate should have excellent organizational and communication skills, be detail-oriented, and possess a strong understanding of maintenance processes. Effective communication and collaboration with various departments, including logistics, maintenance, and procurement, are essential for success in this role. Additionally, staying updated on industry trends and technological advancements is crucial for implementing best practices in tire management.

Requirements

  • High school diploma or equivalent; additional education/certification in a relevant field a plus.
  • Proven experience in coordinating maintenance services or a related field.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Familiarity with maintenance scheduling software or tools.
  • Basic knowledge of maintenance processes and terminology.
  • Self-motivated, hardworking, and reliable individual.
  • Proficient using the computer and MS Office (Word, Excel, Outlook).
  • Effective communication and organizational skills.
  • Ability to build and maintain relationships.
  • Customer service oriented.

Nice To Haves

  • Experience using TMT (Transportation software) is a plus.
  • Truck/Trailer maintenance knowledge is a plus.
  • Ability to prioritize and multitask in a fast-paced environment.
  • Problem-solving skills and the ability to make quick decisions.
  • Familiarity with safety regulations and protocols.
  • Proficiency in using relevant software, such as Computerized Maintenance Management Systems (CMMS).

Responsibilities

  • Receive and process maintenance service requests from various departments.
  • Prioritize and schedule service appointments based on urgency and operational requirements.
  • Maintain a comprehensive record of service requests and their status.
  • Coordinate with maintenance technicians to schedule preventive and corrective maintenance tasks.
  • Develop and maintain a master schedule for routine maintenance activities.
  • Ensure efficient allocation of resources and timely completion of tasks.
  • Act as a liaison between internal departments and external service providers.
  • Communicate maintenance schedules and updates to relevant stakeholders.
  • Collaborate with technicians, vendors, and other teams to address and resolve service-related issues.
  • Maintain accurate records of maintenance service activities, including work orders, completion reports, and feedback.
  • Generate reports on maintenance service performance and key metrics as needed.
  • Provide documentation for billing purposes and maintain financial records related to maintenance services as needed.
  • Monitor the quality and efficiency of maintenance services.
  • Conduct follow-up inspections to ensure that completed work meets established standards.
  • Implement improvements to enhance the overall quality of maintenance services.
  • Provide excellent customer service by addressing inquiries, concerns, and feedback related to maintenance services.
  • Collaborate with customer representatives to understand specific needs and expectations.
