About The Position

WMH Solutions is looking for a Service Coordinator / Dispatcher to support our customers, technicians, and service operations team. This role is ideal for individuals with experience in service dispatching, service writing, customer support, automotive service, fleet maintenance, equipment service, heavy equipment, construction equipment, or industrial operations. The Service Coordinator / Dispatcher will help coordinate technician schedules, manage service work orders, communicate with customers, support billing and documentation, and ensure the efficient operation of service activities. This position acts as a crucial link between customers, field service technicians, parts personnel, branch operations, and service leadership. The ability to stay organized, communicate clearly, and manage multiple tasks is essential for customer satisfaction, technician productivity, and overall service performance. Requirements

  • High School Diploma or GED
  • 2+ years of experience in service coordination, dispatching, customer support, operations support, administration, or related fields
  • Strong organizational and multitasking skills
  • Excellent communication skills
  • Strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with Microsoft Office and computer systems

Responsibilities

  • Coordinate incoming customer service requests
  • Schedule and dispatch field service technicians
  • Manage technician workloads and service activity
  • Monitor work-in-progress (WIP)
  • Communicate scheduling updates and service timelines
  • Open, manage, and close service work orders
  • Maintain accurate service documentation
  • Ensure labor, parts, and billing information is entered correctly
  • Support warranty and service processing activities
  • Maintain accurate customer and equipment records
  • Serve as a primary point of contact for service-related inquiries
  • Provide customers with service status updates
  • Coordinate communication between customers and technicians
  • Deliver a high level of customer service and follow-through
  • Support service reporting and documentation
  • Assist with fleet and rental administration activities
  • Support branch service operations
  • Help identify opportunities to improve efficiency and customer satisfaction
