About The Position

Fort Garry Industries (FGI) is Canada's most trusted truck and trailer parts, sales and service provider with over 100 years of service. The company is expanding and looking for talented and motivated people to join its team. The Service Administrator role at the Thunder Bay branch involves managing front-line customer service for the service shop, handling vehicle check-ins, invoicing, customer communication, and coordinating with technicians to ensure smooth service department operations. The administrator will work with team members to deliver a high-quality customer experience that exceeds customer expectations.

Requirements

  • Previous experience handling cash transactions in an administrative role is preferred, combined with a high school diploma or other equivalency certificate
  • Basic understanding of service shop procedures and repair times is preferred but not required
  • Must be able to meet the physical requirements: Occasionally required to lift and/or move up to 20 pounds from floor to waist, frequently sitting, standing, and walking inside the branch
  • Proficient with Microsoft Office and other standard office equipment
  • Excellent customer service skills
  • Strong communication skills, including both written and verbal
  • Team-oriented, adaptable, with a commitment to safety excellence
  • Able to coordinate and organize multiple customer accounts and service calendars
  • Comfortable with quickly managing multiple tasks, projects and deadlines

Nice To Haves

Responsibilities

  • Greet customers promptly and address their inquiries
  • Provide regular updates regarding work orders
  • Process all work orders, purchase orders, warranty claims and updated customer files
  • Communicate with the Service Manager, vendors and technicians to provide accurate customer information
  • Process AR/AP payments related to the service shop
  • Complete daily cash reports for the branch
  • Other duties as assigned
