About The Position

This role provides essential administrative and operational support within the service department. Key responsibilities include managing customer interactions for boat check-ins and pick-ups, maintaining accurate records, organizing service data, and ensuring a clean and safe work environment. The position also involves assisting service advisors and other department managers with daily tasks, data entry, and special projects. Effective interdepartmental communication and collaboration are crucial for coordinating boat movement, creating estimates, and ensuring customer satisfaction.

Requirements

  • Steady, pleasant temperament with customer service skills.
  • Results-oriented.
  • Able to work an average of 40 hours per week.
  • Able to work a variety of shifts, which include weekends, nights, days, and holidays.
  • Ability to multitask and flexibly prioritize roles.

Nice To Haves

  • Knowledge of customer boats and locations.
  • Knowledge of all Google based request forms, applications and sheets including; Parts Request, Estimate Request, Boat Movement Request, Yard Porter Request and check-in sheets.

Responsibilities

  • Check in boats for service with customers.
  • Monitor all docks and on-site locations for customer drop-off and pick-up.
  • Service customer outreach to confirm pick-up and drop-off.
  • Verify outdated data and make necessary changes to records.
  • Organize and input service data.
  • Answer service phones.
  • Maintain clean and organized workspaces and facilitate traffic flow.
  • Assist Service Advisor with daily duties.
  • Process and manage administrative tasks.
  • Input information into spreadsheets to track customer information and orders.
  • Transfer data from hard copy to a digital database, including boat scheduling.
  • Update customer information in a database.
  • Organize existing data in spreadsheets.
  • Assist with department special projects requiring data input.
  • Assist with boat check-in and inventory of customer pick-up lanes.
  • Review and update the daily marina schedule and communicate job status changes.
  • Maintain knowledge of customer boats and locations, updating schedules and Launch Master entries.
  • Utilize and maintain the HMG standardized system for boat movement.
  • Use Google-based request forms, applications, and sheets (Parts Request, Estimate Request, Boat Movement Request, Yard Porter Request, check-in sheets).
  • Recommend procedural changes to improve efficiency.
  • Keep the dealership neat, clean, and organized.
  • Help maintain service displays.
  • Show respect and care for dealership equipment.
  • Establish and maintain effective working relationships with all dealership personnel.
  • Work with technician manager & estimate manager to create timely and accurate estimates.
  • Assist in the daily facilitation of service meetings, reviewing boat flow delays.
  • Work with team members to provide customer updates and set accurate expectations.
  • Coordinate boat and trailer movement with Service Manager, Technician and Detail/Fiberglass Manager, and Logistics manager.
  • Attend boat EXPO and other special events as needed.
