About The Position

The Clements Center for National Security at The University of Texas at Austin draws on the best insights of diplomatic and military history with the mission to train the next generation of national security leaders. This role provides valuable support in planning, organizing, and executing a wide range of activities aimed at enhancing the student experience. The ideal candidate will be highly organized, possess excellent communication and interpersonal skills, and have a demonstrated passion for mentoring students—especially those pursuing careers in public service and national security. This position involves event coordination, administrative support, marketing and promotion, student advising and mentorship, logistics management, and collaboration with campus departments. The Student Programs Assistant will play a key role in fostering a supportive and inclusive environment for students as they explore academic and professional opportunities in national security.

Requirements

  • Bachelor’s degree with at least five years of experience in student affairs, program coordination, event planning, higher education administration, or a related field.
  • At least one year of experience mentoring undergraduate students, with a strong preference for candidates who have supported students interested in careers in national security, foreign policy, or public service.
  • Experience coordinating events, conferences, student programs, and related logistics, including travel, registration systems, purchasing, and communications.
  • Experience providing administrative support, maintaining records, processing financial transactions, and managing multiple projects simultaneously.
  • Experience mentoring, advising, or supporting undergraduate students.
  • Excellent organizational, interpersonal, and written/verbal communication skills.
  • Proficiency with Microsoft Office and the ability to learn university systems and processes.
  • Ability to build collaborative relationships with students, faculty, staff, and external partners.
  • Must be authorized to work in the U.S. on a full-time basis for any employer.
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

Responsibilities

  • Supports all facets of Clements Center events, student programs, conferences, and other projects as assigned.
  • Provides direct support and informal mentorship to students involved in the Center’s programming, helping connect them with resources, advising on opportunities, and fostering community among students interested in public service careers.
  • Provides administrative and logistical support for the student programs team, including basic accounting (processing expense receipts and payment vouchers), travel management, application and registration systems, purchasing, coordinating catering and facilities, and event marketing.
  • Maintains departmental records related to these functions.
  • Coordinates with partner organizations such as the Strauss Center, the Intelligence Studies Project, and the America in the World Consortium for co-sponsored events and student opportunities.
  • Develops relationships with students and event attendees to strengthen programming, foster a sense of belonging, and elevate the reputation of the Center.
  • Assists with the execution of faculty-led study abroad programs.
  • Assists with planning and executing professional development workshops, off-site events (e.g. Fredericksburg, DC, other locales as assigned), and student-centered activities designed to explore national security careers in areas such as the intelligence community, the military (e.g. ROTC), the Department of State, and more.
  • Under the guidance of the Associate Director and Assistant Director for Student Programs, receives in-person guests and visitors and provides general hospitality.
  • Provides administrative support including answering phones, ordering supplies, maintaining records and files, making copies/scanning documents, and other general office duties as needed.
  • Other related functions as assigned.
