About The Position

As a Strategic Meeting Planning Specialist within the U.S. Surgical Medical Affairs organization, you will support the planning and execution of medical education programs, physician engagement activities, advisory meetings, conferences, and other business-critical events. This team partners closely with Medical Education, Physician Relations, Marketing, Research & Development, and external suppliers to deliver compliant, high-quality experiences that advance education, collaboration, and customer engagement. This is an onsite role based in Lafayette, Colorado or Boston, Massachusetts. Travel is required to support onsite event execution and stakeholder engagement. As a Senior Strategic Meeting Planning Specialist, you will lead end-to-end planning and execution of complex meetings, conferences, and medical education programs. This role serves as a trusted partner to cross-functional stakeholders, managing event strategy, registration, travel, budget administration, supplier relationships, logistics, and attendee experience while ensuring operational excellence and compliance with applicable policies and regulations.

Requirements

  • High School Diploma or equivalent and 6+ years of meeting or event planning experience; OR Associate's Degree and 4+ years of meeting or event planning experience; OR Bachelor's Degree and 2+ years of meeting or event planning experience.
  • Experience managing end-to-end event planning and execution, including registration management, attendee communications, travel coordination, and onsite event delivery.
  • Experience managing event budgets, vendor relationships, contract negotiations, and associated operational processes.
  • Experience using Cvent or a comparable event management platform to support planning, registration, and reporting activities.
  • Experience leading projects involving multiple stakeholders and competing priorities.
  • Possess unrestricted U.S. work authorization at the time of hire and for the duration of employment.

Nice To Haves

  • Experience supporting medical device, healthcare, or other regulated industry meetings and events.
  • Experience planning medical education programs, physician-facing events, or corporate meetings.
  • Experience managing global meetings, attendee travel, and international event logistics.
  • Certified Meeting Professional (CMP) certification and/or project management certification.
  • Experience using Salesforce, virtual event platforms, audience response technologies, and event reporting tools.

Responsibilities

  • Lead end-to-end planning and execution of internal and external meetings, conferences, symposiums, and medical education programs.
  • Partner with cross-functional stakeholders to align event objectives, attendee experience, program content, logistics, and execution strategies.
  • Develop, manage, and reconcile event budgets, including expense tracking, invoice management, cost savings initiatives, and vendor payments.
  • Source, negotiate, and manage contracts with venues, hotels, suppliers, and event service partners to support successful program delivery.
  • Design and manage registration processes, attendee communications, travel coordination, and onsite participant support.
  • Coordinate audiovisual production, event technologies, mobile applications, audience engagement tools, and virtual meeting solutions.
  • Oversee onsite event operations, including venue setup, food and beverage execution, transportation logistics, and supplier management.
  • Generate and analyze meeting metrics, attendee data, and post-event reporting to evaluate outcomes and support continuous improvement.
