About The Position

The Dean’s Office in the College of Medicine at SUNY Downstate Health Sciences University is seeking a full-time Senior Staff Associate. The successful candidate will oversee departmental administrative activities, advise and support the Chair and departmental leadership with decision-making, business planning, strategy, and new initiatives. This role involves overseeing all human resources and personnel-related activities, including physician malpractice insurance and profit sharing. The position also requires oversight of departmental finances, including budget preparation and monitoring of various financial accounts. The Senior Staff Associate will develop business plans and analyses for new and existing practice areas, assist with administrative and scheduling needs for residency and UME programs, and represent the department at various meetings. Additionally, the role involves assisting with policy and procedure development, performance measurement and improvement, grants management support, coordinating special events and projects, and supporting the interaction with the Office of Graduate Medical Education. Management of medical education finance activities, operating and personnel budgets, procurement, and travel are also key responsibilities. The position participates in the planning of department programs, ensures the maintenance of infrastructure for undergraduate medical education programs, and supports the administration of the SUNY Downstate New York Eta Chapter of Alpha Omega Alpha (AOA). The Senior Staff Associate serves as the Chair's administrative representative on departmental issues and assists in monitoring medical record deficiencies. They will coordinate departmental policies and procedures, serve as the department liaison with hospital-wide Performance Improvement and Regulatory Affairs, organize teaching activities, and attend various departmental and committee meetings. The role is accountable for special projects as assigned.

Requirements

  • Bachelor's Degree.
  • 5+ years of administrative work experience in an academic medical center or closely related setting.
  • Demonstrated ability in financial and personnel management.
  • Excellent written, verbal and interpersonal communication skills.
  • Excellent analytical skills.
  • Excellent executive leadership capability.
  • Or, a satisfactory equivalent combination of experience, education and training.

Responsibilities

  • Oversee departmental administrative activities as directed by the Chair.
  • Advise and support Chair and departmental leadership with decision-making, business planning, strategy and new initiatives to grow the Department and primary care at Downstate.
  • Oversee all human resources and personnel related activities including: Oversee University Physicians of Brooklyn physician malpractice insurance and profit sharing.
  • Oversee departmental finances including: Prepare annual internal operating budget for the department.
  • Prepare annual budgets for the various departmental funding sources (UHD, COM, IFR, private practice plan).
  • Liaises with UHD, COM and UPS finance offices.
  • Monitor account activity in all financial accounts including UHD, UPS, Research Foundation, HSCB Foundation and IFR accounts.
  • Monitor UHO and UPS physician billing revenue and RVU reports.
  • Develop business plans and analyses for new and existing practice areas, Initiatives and physician and practice productivity.
  • Assist in administrative and scheduling needs and activities of the residency and UME programs.
  • Represent department and Chair (as requested) at COM, UHD, practice plan and other meetings.
  • Assist with policy and procedure development and performance measurement and improvement within the Department and its clinical operations.
  • Provide grants management support.
  • Coordinate special events and projects.
  • Support of the interaction and interface with the Office of Graduate Medical Education as it pertains to Undergraduate Medical Education.
  • Management of all medical education finance activities, medical education operating and personnel budgets: Planning for and forecasting expenditures; and oversight of department procurement and travel.
  • Participation in the planning of department programs in conjunction with Department Chair, Faculty, and Campus Administration.
  • Ensure that the infrastructure that supports the department's undergraduate medical education programs are maintained, Including websites and the procurement of necessary supplies and materials.
  • Support the administration of the SUNY Downstate New York Eta Chapter of Alpha Omega Alpha (AOA).
  • Serve as the Chair's administrative representative on departmental issues with the Dean's Office, Hospital Administration and Faculty.
  • Assist in monitoring monthly medical record deficiencies.
  • Notify physicians of noncompliance.
  • Coordinate departmental policies and procedures.
  • Update department and division policies as requested by the Chair.
  • Serve as the department liaison with hospital-wide Performance Improvement and Regulatory Affairs activities.
  • Organize various department teaching activities, including informal conferences and presentations.
  • Attend departmental operations and performance improvement meetings.
  • Attend department meetings and assist in preparing agenda if requested.
  • Attend COM, UHD practice plan administrator meetings as scheduled.
  • Organize and attend departmental and hospital operations and performance improvement committee meetings.
  • Be accountable for special projects as assigned.
