About The Position

This role oversees the lifecycle management of departmental agreements, including SOP’s, MSA’s, contracts, and renewals, ensuring the continuity of critical security services. It involves maintaining a centralized tracking system for contracts, policies, and compliance documentation for accuracy, accessibility, and audit readiness. The position monitors contract terms, expiration dates, and SLAs to mitigate risks and prevent service disruptions, and manages departmental logs and trackers to support operational transparency and accountability. The Senior Specialist serves as a key liaison across the security department to ensure the accuracy of essential department documentation, such as Standard Operating Procedures, Guides, and Policies. A key responsibility is providing comprehensive reports detailing all global departmental activities on a quarterly basis for senior leadership. This role requires working from our NYC office at least three days a week. The role also involves leading and overseeing internal investigations, planning and executing investigative strategies, preparing detailed reports, and providing guidance and training to security analysts. Identifying trends, risks, and vulnerabilities through quarterly analysis and providing recommendations is crucial. The role requires responding to workplace incidents, ensuring immediate safety measures, proper documentation, and post-incident follow-up, as well as ensuring compliance with state and local workplace safety regulations and organizational policies. Developing and overseeing workplace violence prevention programs across the Americas region, leading threat assessment and management processes, and partnering with Human Resources, Legal, and leadership are also key functions. The role includes coordinating and updating training material on workplace violence prevention, de-escalation techniques, and active threat response. Additionally, the Senior Specialist will serve as the primary administrator of third-party security platforms, act as a liaison between internal stakeholders and external vendors, and coordinate the integration of Physical Security platforms. Training and supporting cross-functional teams on platform functionality and best practices is also part of the role. The position involves coordinating executive chauffeur and carpool schedules, maintaining and organizing program documentation, and serving as a point of contact for corporate drivers and Executive administrative assistants. Liaising with cross-functional departments for expense tracking, reporting, and reimbursement processes, and ensuring accurate record keeping are also required. The Senior Specialist will be the primary administrator for the Global Security website, collaborating with the internal security team to align content, and managing and updating critical content. Participation in the operations of the Global Security Intelligence Desk is expected, ensuring timely delivery of intelligence to support risk mitigation, executive protection, and decision-making. This includes continuous monitoring of global threats, geopolitical developments, and emerging risks impacting personnel, assets, and operations, and collaborating with cross-functional teams to integrate intelligence into a broader risk framework.

  • Coordinate integration of Physical Security platforms with other internal systems where applicable.
  • Train and support cross-functional teams on platform functionality and best practices.
  • Coordinate executive chauffeur and carpool schedules, ensuring timely and efficient transportation logistics.
  • Maintain and organize program documentation, including driver records, vehicle information, tracking usage, and compliance files.
  • Serve as a point of contact for corporate drivers and Executive administrative assistants to support communication, scheduling, and issue resolution.
  • Liaise with cross-functional departments (Finance, Marsh Operations) to support expense tracking, reporting, and reimbursement processes.
  • Ensure accurate record keeping of trips, mileage, and supporting documentation for auditing and reporting.
  • Serve as primary administrator for the Global Security website, overseeing structure, functionality, and engagement across global users.
  • Collaborate with internal security team to align content with organizational standards and security objectives.
  • Manage and update critical content including policies, procedures, emergency protocol, and global alerts.
  • Maintain content governance processes, including review cycles and version control.
  • Participate in the operations of the Global Security Intelligence Desk, ensuring timely delivery on intelligence to support risk mitigation, for executive protection and decision making.
  • Ensure continuous monitoring of global threats, geopolitical developments, and emerging risks impacting personnel, assets, and operations.
  • Collaborate with cross-functional teams (e.g., Security Operations, Travel Risk, BRM) to integrate intelligence into a broader risk framework.
