The Senior Sales Coordinator, working under limited supervision, provides administrative support, project management, and coordination for the IFG Sales organization. This role involves interacting with internal and external stakeholders at all levels, supporting Sales Leadership with daily tasks, managing calendars, handling special projects, and facilitating communication. The Sr. Sales Coordinator is vital for optimizing the sales department's operational efficiency and effectiveness. The position requires independent judgment to plan, prioritize, and coordinate a diverse workload, with routine decisions made independently and non-routine activities requiring leader approval.

Requirements

  • At least 3 years of equivalent experience required.
  • High School diploma required.
  • Strong organizational and time management skills.
  • Working understanding of digital literacy; ability to use conventional computer software applications (e.g. Windows, MS Outlook, MS Word, MS Excel, MS PowerPoint, Email, etc.).
  • Working understanding of general business administration practices and procedures.
  • Proficient ability in professional writing, meeting summarization, presentation creation skills, scheduling, travel logistics, and event planning.
  • Proficient project management skills.
  • Strong communication skills with follow-up and follow-through.
  • Proficient ability to establish relationships and communicate with all levels of individuals internal and external to the organization.
  • Ability to travel up to 10% of the time.

Responsibilities

  • Handle Sales LT calendars; schedule appointments and commitments to improve executive's work time, while ensuring priorities are met.
  • Support VP Sales Ops with special projects, planning meetings/calendars, scheduling, and coordination.
  • Lead the planning and execution of certain Sales Meetings, including securing internal or external meeting space, making meal/travel arrangements, ensuring technology requirements, negotiating rates, tracking spend against budget, and assisting on site as needed.
  • Assist with sales shows and other events as needed.
  • Support the sales team and leadership by managing schedules, coordinating meetings, handling communication, preparing sales documentation, and assisting in various sales-related tasks.
  • Administratively manage projects for the team, including tracking and reporting the status of multiple key department deliverables.
  • Support and sometimes lead sales projects, campaigns, and initiatives by coordinating tasks, timelines, and resources.
  • Ensure project-related documentation is organized and readily accessible.
  • Assists in budget management by helping with PR creation, budget tracking, invoice approvals, and maintaining meeting budgets.
  • Manage the IFG Sales Sharepoint site and other electronic filing systems to stay on top of key items that can be referenced and called upon quickly if needed.
  • Ensure an irresistible experience for new hires by leading the onboarding process and delivering the resources and support they need to succeed.
  • Manage the corporate vehicle and car allowance programs.
  • Manage corporate event and ticket allocation and distribution.
  • Own the IFG Sales office space at HQ, ensuring the office space is presentable, providing on-site support to IFG Sales team members, and coordinating visits from external stakeholders.
  • Maintain confidentiality in all aspects of the role.
  • Assist managers in identifying issues and suggesting improvements to drive efficiency.
  • Perform other duties as required or assigned which are reasonably within the scope of this role.
