About The Position

ASRC Federal AFSS is a premier provider of systems engineering, software engineering, system integration, and project management services supporting mission-critical federal programs. We are seeking a Senior Project Support Specialist to support the Science Mission Directorate (SMD), Biological and Physical Sciences (BPS) Division at NASA Headquarters in Washington, D.C. The Senior Project Support Specialist provides high-level executive, administrative, and project support services to the Biological and Physical Sciences (BPS) Division within NASA’s Science Mission Directorate (SMD). This role supports Division leadership, including the Director, Deputy Director, Program Executives, and Program Scientists, ensuring smooth operations through strategic planning, coordination, communication, and execution of administrative and programmatic functions. The successful candidate will serve as a trusted advisor and operational support partner, balancing executive priorities while independently managing competing requirements in a fast-paced, mission-driven environment. Responsibilities include executive scheduling, international and domestic travel coordination, leadership support, project tracking, reporting, communications, meeting facilitation, and process improvement initiatives.

Requirements

  • Ability to independently manage multiple priorities in a fast-paced executive environment.
  • Experience supporting senior leadership, executives, or organizational management teams.
  • Knowledge of NASA administrative systems, policies, procedures, and organizational processes.
  • Experience with domestic and international travel coordination and associated federal travel regulations.
  • Experience supporting meetings, conferences, workshops, retreats, and executive-level engagements.
  • Strong organizational and project coordination skills with exceptional attention to detail.
  • Demonstrated ability to develop reports, presentations, executive communications, and briefing materials.
  • Ability to proactively identify issues and develop practical solutions.
  • Strong verbal and written communication skills with the ability to engage professionally at all organizational levels.
  • Experience creating and maintaining SOPs and process documentation.
  • Expert proficiency with Microsoft Office Suite including Outlook, Teams, PowerPoint, Excel, SharePoint, and Word.
  • Experience with NASA administrative and workflow systems preferred, including CGE, HATS, STAR, PAM, EVAMS, NCTS, and related systems.
  • Ability to work collaboratively while exercising discretion and professionalism.
  • Individuals must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job.

Responsibilities

  • Provide exceptional executive and project support to BPS Division leadership and staff while ensuring organizational priorities and deadlines are met.
  • Manage and coordinate calendars for Division leadership and maintain the BPS Division calendar, resolving conflicts and ensuring leadership representation at critical meetings and events.
  • Coordinate and process complex domestic and international travel authorizations, mission essential requests, launch travel, invitational travel, conference travel, and travel vouchers in Concur Government Edition (CGE) and related NASA systems.
  • Coordinate international travel requirements including country clearances, Advanced Travel Notification Forms (ATNF), foreign travel documentation, passport requirements, and Office of International and Interagency Relations (OIIR) coordination.
  • Prepare and track conference travel submissions within agency systems and ensure compliance with Federal Travel Regulations and NASA procedural requirements.
  • Support leadership meetings, workshops, conferences, retreats, and strategic engagements through agenda development, scheduling, room coordination, attendee management, logistics support, and facilitation.
  • Capture, prepare, finalize, and distribute comprehensive meeting notes, summaries, and action items.
  • Develop and create executive briefing materials, slide decks, reports, travel matrices, and presentation packages supporting leadership initiatives and organizational priorities.
  • Maintain and update Weekly Activity Reports (WAR), division reports, organizational metrics, and recurring communications.
  • Coordinate visitor requests and badging through agency systems and facilitate support for official visitors and external stakeholders.
  • Support milestone planning activities, team meetings, quarterly reviews, and organizational events.
  • Develop and maintain Standard Operating Procedures (SOPs) and identify opportunities to streamline business practices and administrative processes.
  • Manage electronic records, databases, SharePoint sites, distribution lists, repositories, and tracking systems to ensure information accuracy and accessibility.
  • Coordinate routing and approvals of forms, memoranda, agreements, and correspondence through NASA tracking systems and approval tools.
  • Provide proactive recommendations and administrative solutions to leadership while independently managing competing priorities and evolving requirements.
  • Support project initiatives through planning, requirement gathering, tracking deliverables, and monitoring progress toward successful outcomes.
