Senior Project Manager, Campaign Operations

Arbiter AI•New York, NY
•$180,000 - $200,000•Onsite

About The Position

Arbiter is launching its best-in-class, patient-facing Agentic platform to optimize patient outcomes through a unique multimodal approach. We optimize complex healthcare workflows that interface with patients using the latest Agentic AI approaches, and we combine it with a sophisticated platform to serve this Agentic layer at scale. Backed by one of the largest seed rounds in health tech history and operators who bring the expertise and distribution to scale nationally, we're building the connected infrastructure healthcare should have had all along.

Requirements

  • 3 to 6 years in project or program management, implementation, or technical operations on a software platform with live customer deployments.
  • A proven record of running several concurrent projects with fixed external deadlines.
  • Strong requirements discipline. You can turn a vague customer request into a precise spec, and you ask the questions that prevent rework.
  • Comfort working closely with engineers, and enough technical fluency to read configuration, understand data flows, and know when a change is simple and when it is not.
  • Clear written communication and careful documentation habits.
  • Calm judgment on prioritization when timelines, customers, and internal teams are in conflict.

Nice To Haves

  • Healthcare experience, especially payer quality programs (HEDIS, Stars) or provider patient access and scheduling.
  • Experience with patient or member outreach, contact center, or voice AI platforms.
  • Familiarity with HIPAA, PHI handling, and compliance review of member communications.
  • Experience with project management tools such as Jira, Linear, Asana, or Smartsheet, and comfort building lightweight workflows in them.
  • PMP, CSM, or similar certification.

Responsibilities

  • Own the master campaign calendar across all customers: launch dates, outreach waves, refresh cycles, pauses, and end dates.
  • Plan around the deadlines that matter in healthcare, including HEDIS and Star measurement year end, seasonal campaigns like flu, Medicare marketing windows, and each customer’s own reporting cycles.
  • Spot capacity conflicts, dependencies, and timeline risks early, and lead the tradeoff discussions before dates slip.
  • Run a regular launch readiness review so every campaign has the right inputs, approvals, and QA signoff before it goes live.
  • Run campaign intake with customers and internal teams. Capture goals, target populations, measures, outreach rules, escalation paths, scheduling logic, and how success will be measured.
  • Turn business and clinical requirements into clear specs that engineering and deployment can configure without guessing.
  • Keep a single source of truth for each campaign’s requirements, versions, and approvals, so that what launches matches what the customer agreed to.
  • Run change control on live campaigns: log requested changes, assess their impact, get the right signoffs, and schedule them into releases.
  • Coordinate the full launch process across customer data files, script and clinical review, compliance approval, configuration, QA, and go-live.
  • Be the main point of contact for campaign timelines on customer projects. Give status updates that are short, accurate, and honest about risk.
  • Work with QA and engineering after launch to make sure issues found on live campaigns feed back into requirements and process.
  • Build and maintain the templates and checklists that make launches repeatable: intake forms, requirements specs, readiness checklists, and launch runbooks.
  • Track delivery metrics such as on-time launch rate, intake-to-launch cycle time, and change volume, and use them to improve how the team plans.
  • Help bring the tools we use to manage the calendar and campaign configuration, which are still maturing, up to the level of a team running many campaigns at once.
