About The Position

The Senior Operations Associate at Beacon Trust performs a range of moderately complex to complex operational activities supporting money movement, securities transactions, and the administration of client relationships. This role requires prior relevant experience, strong judgment, and the ability to communicate clearly and professionally, both verbally and in writing, while exercising discretion and diplomacy in daily interactions.

Requirements

  • Bachelor’s Degree
  • Minimum of 2 years in an administrative/support capacity or other practical job experience.
  • Proven ability to prioritize and organize work within a fast-paced environment without losing accountability of priorities.
  • Ability to organize, analyze and interpret financial and management data to solve accounting and taxation problems.
  • Strong diligence, accuracy, ability to multi-task and effective time management skills are required to efficiently manage assigned tasks.
  • Strong organizational, analytical, and general accounting skills are required to oversee client transactions, identify and resolve account issues and to ensure the accurate delivery and tracking of client requests.
  • Basic knowledge of investments and securities and tax laws related to their transactions.
  • Basic knowledge of and the ability to rapidly acquire knowledge of applicable laws, rules and regulations governing trust accounting activities.
  • Knowledge of specialized Trust Operations software (TrustDesk) or the ability to learn such a system.
  • Advanced knowledge of keyboard and PC skills, including Microsoft Word, Excel and Outlook.
  • Strong oral/written communication skills.
  • Ability to work with a wide variety of personalities in a courteous and efficient manner.

Responsibilities

  • Processes client account deposits, disbursements, dividends, and interest on a daily basis.
  • Research and resolves discrepancies and variety of client inquiries.
  • Processes and posts daily trust data entries accurately.
  • Communicate with third parties to gather information and resolve issues.
  • Assists the Trust Officers in all administrative support.
  • Works on all types of correspondence and preparation of various reports.
  • Executes daily pending transactions such as client bills, check requests, wire transfers, ACH transactions, posting of incoming wires and checks.
  • Is responsible for the organization, maintenance, and storage of client files (including bills paid, tax returns, funds transfer requests, correspondences, etc.).
  • Responsible for preparing and sending new account opening paperwork and assisting with the processing of the initial funding and/or receipt of assets.
  • Prepares various reports or spreadsheets to be sent to clients for informational purposes.
  • Account database maintenance creates and assigns account alerts, tax codes, description codes, name & address table, and daily departmental report distribution.
  • Registers new client users for online account access and distributes welcome packages with Agreement and User Guide.
  • Assists the department manager in special projects as assigned.
