About The Position

The Faculty of Arts is seeking a Senior Officer, Administrative Support to plan and coordinate activities related to the administration of financial, human, physical, and material resources. This role provides support and advice to managers and professors, ensuring policies and procedures are understood and implemented. The Faculty of Arts is dedicated to creating a diverse, equitable, and inclusive environment.

Requirements

  • Advanced knowledge of administration, accounting, financial, and human resources principles (normally acquired through postsecondary studies in a related discipline or an equivalent combination of education and work experience).
  • Minimum 3 years of demonstrated experience in a similar role.
  • Knowledge of computer systems and software including financial systems, spreadsheets, databases, Internet, and e-mail.
  • Experience in interpreting, explaining, and applying policies and regulations.
  • Experience working in a unionized environment and in interpreting collective agreements.
  • Experience in preparing reports.
  • Ability to produce high-quality work under pressure while meeting strict deadlines.
  • Strong interpersonal and communication skills.
  • Strong organizational skills.
  • High level of discretion.
  • Bilingualism – French and English (spoken and written).

Nice To Haves

  • Selected candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language if this is a front-line position with responsibilities to interact with students.

Responsibilities

  • Coordinate ongoing financial transactions and activities related to internally and/or externally funded budgets.
  • Perform research and analysis for budget preparation, projections, and shortfalls.
  • Act as a resource person for human resources inquiries related to classification, staffing, compensation, leave, and performance evaluation.
  • Coordinate the Work Study program process.
  • Manage physical resources for efficient space utilization, including room setup and accessibility.
  • Maintain accurate records of key holders and security access information.
  • Act as Health and Safety representative for the sector.
  • Act as a resource person for procurement policies, procedures, and suppliers.
  • Manage material resources, including purchasing goods and services and creating service contracts.
  • Execute academic administration tasks, including course offerings, schedules, quotas, and faculty workloads.
  • Act as a liaison between the administrative team and undergraduate and graduate offices.
