About The Position

This position serves as a first point of contact for students, handling inquiries and providing client service to support student retention. The role involves executing administrative tasks such as evaluating and approving requests, making recommendations, and following up with students, colleagues, and other faculties. The Senior Officer also acts as an ambassador for the University and Faculty at events like graduation ceremonies and recruitment fairs.

Requirements

  • Knowledge of administration normally acquired through postsecondary education and several years of experience in a similar role.
  • Knowledge of academic programs at the high school, college, undergraduate, and postgraduate levels.
  • Knowledge of and experience interpreting, communicating, and applying procedures, policies, and methods.
  • Experience researching and analyzing data as well as creating administrative and statistical reports.
  • Experience in problem-solving and decision-making.
  • Experience providing client service.
  • Experience implementing strategies and activity plans for students.
  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access), word processing, Windows, and the Internet.
  • Capacity to deal with conflicting priorities and respect strict deadlines in a fast-paced environment.
  • Organizational and analytical skills, excellent judgment, and attention to detail.
  • Listening skills and strong work ethics.
  • Bilingual – French and English (spoken and written); must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language, as determined by a proficiency test.

Responsibilities

  • Analyze student files with conditional acceptance and/or equivalences for follow-up by the Academic Development and Student Retention Specialist, monitoring these files to ensure administrative and academic deadlines are met.
  • Serve as a first point of contact for students regarding requests for modification to their program of study, acknowledging and acting on these requests.
  • Serve as a first point of contact for students regarding course selection and registration applications, determining eligibility and approving course selections for first-year students and special students.
  • Conduct a primary evaluation of student files for graduation, ensuring compliance with policies and processes, and attend graduation ceremonies as a University ambassador.
  • Participate in the coordination of exams by ensuring the confidentiality of exam content and organizing the schedule for exam supervisors.
  • Promote the University of Ottawa, its programs, and services at commercial fairs and recruitment events as a University ambassador.
