About The Position

JLL is seeking a Senior Occupancy Planner for their Workplace & Occupancy Planning Team. This role involves managing the supply, capacity, and demand of space for a specific client at the business unit level, coordinating tactical requests, and aligning with overall occupancy strategy. The Senior Occupancy Planner will drive the development of tactical and strategic plans, sequence building and floor level migrations, and resolve planning issues. They will ensure planning aligns with corporate guidelines, maximize space utilization, and govern space policies. The role requires tracking customer-requested exceptions, creating reports, and developing Planning Strategies for senior leadership approval. The Senior Occupancy Planner will act as a Subject Matter Expert in the client's workplace program, using utilization data to increase workplace productivity, and will model superior client relationship management and strategic thinking. This position requires strong knowledge in Corporate Real Estate, interaction with organizational leadership, and leading a team to identify requirements, prepare status reports on seat demand, and report on current supply, capacity, and forecast inventory changes. The team will also be responsible for assembling and reporting seat count projections and reconciling discrepancies with top-down projections, as well as tracking actual seat demand. Familiarity with occupancy metrics, sharing ratios, and industry trends is essential.

Requirements

  • 5-7 years of experience in a corporate environment, preferably in strategic space /occupancy planning
  • Bachelor’s degree in Corporate Real Estate, Finance, Architecture, Design or a related field.
  • Advanced skills in Microsoft Excel (pivot tables, VLOOKUP, cell calculations) and Microsoft Power Point
  • Proficiency in CAFM/IWMS software
  • Experience with AutoCAD for basic test-fits and square foot calculations
  • Strong analytical and problem-solving skills
  • Excellent written and verbal communication abilities
  • Strategic thinking and big-picture perspective.

Responsibilities

  • Drive the development of tactical and strategic plans.
  • Sequence building and floor level migrations.
  • Facilitate and/or resolve planning issues identified in customer meetings.
  • Ensure planning is aligned with corporate guidelines and maximizes space utilization.
  • Govern, educate, and enforce space policies/guidelines, procedures, and protocols with the account team.
  • Track and notify the client of customer requested exceptions.
  • Create and document all related reporting.
  • Develop specific Planning Strategies for approval by Senior Leadership.
  • Act as a Subject Matter Expert in the client's workplace program.
  • Use utilization data to drive solutions that increase the productivity of the Workplace.
  • Model superior client relationship management and strategic thinking.
  • Interact with organizational leadership.
  • Lead the team in identifying requirements, preparing, and updating status reports on actual seat demand versus projected seat demand at the site level or business unit level.
  • Report out on the current supply, capacity, and forecast inventory changes as required.
  • Assemble, update, and report the top-down and bottoms-up seat count projections collected at the group-level for the projected planning horizon.
  • Work with the client to reconcile discrepancies from top-down projections.
  • Track and report actual seat demand at the site and business unit level.
  • Foster partnerships with both the client’s Real Estate Organization and end users to cultivate innovative space solutions.
  • Ensure consistent delivery of planning services.
  • Effectively manage and report occupancy data within the parameters of the client's workplace programs and strategy.
  • Leverage expertise in the creation of occupancy scenario and collaborative workplace practices to offer comprehensive solution options for intricate occupancy issues.
  • Communicate with CREWS to review and resolve planning forecast requirements, concerns, and issues.
  • Communicate with Business Unit and HR leadership to collect headcount forecasts and resolve headcount forecast discrepancies.
  • Communicate with Corporate Finance group to gather top-down headcount and growth projections.
  • Communicate with Project management to review developed planning strategies that drive Capital construction projects and support the planning to implement these projects.
  • Communicate with Relocation Project Management and facility management teams to review and approve requested moves, develop migration plans, and conduct facility audits.
  • Communicate with other members of the occupancy planning team to ensure cross campus/portfolio strategy plans are developed and followed.
