About The Position

The Senior Meeting Planner serves as the primary liaison between FINRA Committee Liaison and committee members, providing essential meeting planning support for FINRA Corporate Governance committee meetings and external member meetings. Key responsibilities include setting up registrations in Cvent, managing logistics for catering and audio-visual needs, handling budgeting, negotiating contracts, and acting as a production manager for FINRA's virtual and hybrid events. This role requires managing multiple overlapping meetings and projects simultaneously, making sound decisions independently to support the FINRA mission, and overseeing stringent budgets. The Senior Meeting Planner is accountable for the logistical and financial aspects of assigned events, coordinating communications with external committee members, and acting as a point of contact for program development, webcasting, audio-visual services, and daily use of the FINRA registration database.

Requirements

  • College degree or equivalent and five (5) years of experience in meeting management or hospitality.
  • Comprehensive knowledge in contract negotiations.
  • Background on registration systems.
  • Independent to work onsite at conferences.
  • Proficiency using a PC with Microsoft Suite.
  • Knowledge of Cvent databases.
  • Ability to implement projects independently and collaborate with various departments.
  • Proficient in virtual and hybrid meeting technologies including Zoom, Vimeo, Crowd Compass and Cvent Virtual Attendee Hub.
  • Understanding of Workday Expense, Concur Third Party Travel, Passkey and Cvent.
  • Ability to work with Audio Visual Industry, equipment, webcasting and multi casting.

Responsibilities

  • Utilizes technology to manage meeting logistics in virtual, hybrid, and in-person environments.
  • Facilitates pre-conference meetings, site selection, contract negotiation, rooming lists, menu development, banquet event orders, on-site management, budget reporting, and post-conference expense reconciliation.
  • Creates and manages meeting registrations using Cvent, monitoring registration data and sending confirmation letters.
  • Establishes and monitors controls for all committee activities related to travel, on-site, and post-event expense approvals.
  • Leverages Cvent for vendor sourcing, budgeting, reconciliation, and reporting.
  • Coordinates Audio-Visual (AV) equipment setup and oversees AV vendors.
  • Utilizes various travel and expense tools (Workday Expense, RezDesk, Third Party Travel, Cvent).
  • Negotiates favorable prices and contract terms with suppliers.
  • Develops food and beverage plans for committee meetings.
  • Creates budgets for Corporate Governance meetings and oversees cost consistency across FINRA.
  • Demonstrates FINRA's values and collaborates to further FINRA's mission.
