Location: Logan Health Medical Center – Kalispell, Montana Schedule: Day Shift – 8 Hours | Full-Time – 40 Hours As a Senior Medical Records Technician, you’ll play a critical leadership role in supporting daily office operations, maintaining patient records, ensuring compliance with HIPAA and legal standards, and serving as a subject matter expert for the team. Key responsibilities include: Preparing and managing complex patient charts Scanning, indexing, and categorizing documents with a high level of accuracy Responding to requests professionally and promptly Conducting quality audits on scanned records and identifying trends Assisting with data management, reporting, issue resolution, and process improvement Training and mentoring team members on workflows and best practices

Requirements

  • 3+ years of experience in a clinical or Health Information Management setting
  • Strong knowledge and understanding of federal/state laws and regulations regarding record completion
  • Experience with Electronic Medical Records (EMR)
  • Medical terminology knowledge
  • Strong customer service skills with professional phone etiquette
  • Ability to multi-task in a fast-paced environment
  • Proficiency in Microsoft Office Suite and the ability to learn new software
  • Excellent organizational, critical thinking, and communication skills
  • Ability to work independently and prioritize effectively
  • Commitment to confidentiality and teamwork
  • Minimum of three (3) years’ experience in a clinical of Health Information Management setting required.
  • Possess knowledge and understanding of federal/state laws and regulations regarding record completion required.
  • Experience with Electronic Medical Record (EMR) required.
  • Medical Terminology required.
  • Excellent organizational skills, detail-oriented, a self-starter, possess critical thinking skills and be able to set priorities and function as part of a team as well as independently.
  • Commitment to working in a team environment and maintaining confidentiality as needed.
  • Excellent verbal and written communication skills including the ability to communicate effectively with various audiences.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Possess and maintain computer skills to include working knowledge of Microsoft Office Suite and ability to learn other software as needed.

Responsibilities

  • Assist with daily office operations and serve as a resource and backup as needed.
  • Prepare, scan, and organize patient records per department procedures with a high level of accuracy.
  • Process medical record requests in compliance with HIPAA and legal requirements.
  • Perform and lead quality audits, identifying discrepancies and implementing solutions.
  • Analyze patient records for deficiencies in accordance with federal/state laws and Medical Staff By-laws.
  • Run reports, merge accounts, and correct complex data issues within the electronic medical record.
  • Resolve medical record discrepancies by collecting and analyzing information.
  • Train and mentor team members on current workflows, systems, and best practices.
  • Assist leadership with system upgrades, maintenance, and troubleshooting.
  • Collaborate with providers and staff to expedite chart completion processes.
  • Maintain supplies and equipment, coordinating repairs as necessary.
  • Respond promptly to requests and support departmental needs in a fast-paced environment.
  • Assists with daily routine office operations.
  • Serves as backup as applicable to assigned area(s).
  • Promotes positive customer relations through prompt and courteous service within a fast-paced, high volume, customer focused area.
  • Prepares patient charts per department procedure and as applicable to assigned area(s).
  • Obtains records for patients, and assists in obtaining records for new patients as applicable to assigned area(s).
  • Processes medical records requests assuring that released information meets legal/HIPAA requirements as applicable to assigned area(s).
  • Prioritizes and prepares files for scanning and/or storage as applicable to assigned area(s).
  • Scans documents to database and indexes per department procedure as applicable to assigned areas.
  • Categorizes and organizes documents according to department protocol as applicable to assigned area(s).
  • Researches and resolves issues per department procedure as applicable to assigned area(s).
  • Performs quality audits on scanned images per department procedure and as applicable to assigned area(s).
  • Professionally and promptly responds to requests per department protocol and as applicable to assigned area(s).
  • Maintains and orders supply stock per department procedure as applicable to assigned area(s).
  • Maintains equipment and coordinates repairs and service per department procedure as applicable to assigned area(s).
  • Assists with copying, scanning and retrieval of information as requested.
  • Assists with miscellaneous data research requests.
  • Runs reports, merges and corrects information in the electronic medical record.
  • Merges duplicate accounts in all applications as applicable to assigned area(s).
  • Analyzes all patient type records for deficiencies in accordance with Federal and State laws as well as Medical Staff By-laws.
  • Trains and mentors other Technicians related to the current and new processes.
  • Resolves medical record discrepancies by collecting and analyzing information.
  • Merges and moves accounts as necessary.
  • Assists leadership with system upgrades and maintenance, and acts as a resource for troubleshooting.
  • Works collaboratively with providers and staff to expedite the chart completion process.
  • Conducts periodic quality audits on scanning, merging and analysis.
  • Ensures dictations and/or reports are accounted for and assists with efficient delivery and distribution of reports.
  • Assists in gathering preoperative history and physicals for surgery.
  • Maintains regular and consistent attendance as scheduled by department leadership.
