About The Position

The Senior Manager of Technical Community Engagement and Governance is charged with two primary areas of responsibility: supporting the volunteers who run Optica’s 51 Technical Groups and managing the governance activities associated with Optica’s Meetings portfolio. Specific to the Technical Groups, this individual will manage the development and growth of our technical communities and develop and maintain relationships with a wide range of volunteers. For the Meetings portfolio, this individual will be charged with efficiently supporting the governance of Optica’s meetings. The ideal candidate will have the ability to effectively work with volunteers, be proactive, have strong project management skills and demonstrate composure, responsiveness, and engagement with Optica’s dynamic and fast paced optics and photonics community.

Requirements

  • Four-year college degree and 5-7 years work experience, preferably with a scientific society.
  • Significant experience with volunteer management and committee governance.
  • Strong project management skills.
  • Ability to project an outgoing, high energy and collaborative approach with staff and volunteers.
  • Strong written, verbal and problem-solving skills.
  • Multi-task oriented and can demonstrate excellent organizational skills.
  • Exceptional interpersonal skills and demonstrated effectiveness working in a team environment.
  • Some travel may be required to select events and meetings.

Responsibilities

  • Serves as Governance Project Manager, including drafting agendas, preparing materials, generating minutes, maintaining and monitoring the meetings governance action item register, managing ballots and approval processes, managing the administration of Steering Committees, managing endorsed meetings requests, and maintaining rosters and orientation materials.
  • Manages Optica’s Technical Groups (TG), including coordinating the annual TG leadership meeting, conducting the annual TG election, working with TG leadership to develop outreach and engagement strategies, conducting TG orientation meetings, and developing reports on TG activities.
  • Manages Technical Group Events and the Technical Community Engagement Specialist, including supervising the Specialist's activities, identifying and managing new meeting formats and workshop opportunities, communicating opportunities to host events, managing logistics for TG events, and providing TG volunteers with event information.
  • Supports the development of effective benchmarks and measures the growth and effectiveness of TGs by ensuring tracking sheets are completed, creating reports for the Board of Meetings, compiling data for the Benchmark Report, and utilizing data to identify group activity levels.
  • As needed to balance workload, serves as Program Manager for a Congress annually, acting as the primary committee liaison, drafting planning timelines and program schedules, managing committee deliverables, ensuring administrative tasks are addressed, managing the sessioning and scheduling process, and collaborating with other staff and departments.
