About The Position

Tides is seeking a Senior Manager, Fund Administration to lead Tides Foundation’s Fund Administration function. This position will hold a complex portfolio of partners and manage a team of Fund Administrators to ensure fund stewardship, workflow execution, regulatory compliance, process integrity and exceptional, equity-aligned partner service. Serving as the operational lead, the Senior Manager will work cross-departmentally to solve partner escalations, measure and foster quality assurance, and assess the team’s capacity, to ensure seamless, effective and accurate partner service in a high-volume environment. As a people leader, the Senior Manager will be expected to demonstrate Tides’ core competencies of Leading Self and Leading People.

Requirements

  • Portfolio & fund stewardship: Ability to manage a portfolio by monitoring engagement, pacing, service levels, and exception trends; translating insights into staffing/workflow decisions.
  • Fund management mechanics: Comfort with complex scopes of work, contract logistics, fee structures, grantmaking cycles, fund policies and compliance fund lifecycle transitions, and operational stewardship across DAF/CAF/SEF structures.
  • Financial literacy & analysis: Ability to interpret fund reports, reconcile operational issues, and explain financial processes in accessible language.
  • Relationship management: Ability to steward partners with high-quality client service and confident escalation handling, while partnering effectively with other internal stakeholders.
  • Systems & data integrity: Proficiency with CRM/fund systems and Excel; ability to establish controls that ensure accurate reporting and clean records.
  • Equity-centered communication: Ability to model values-aligned partner service that reflects transparency, accountability, respect, and collaboration.
  • Judgment & discretion: Ability to manage confidential and sensitive donor information and nuanced operational issues with professionalism.
  • Independence: Ability to consistently exercise independent judgment on matters of significance.
  • 7 years experience in fund administration, donor services, philanthropic operations, or comparable financial/partner servicing environments, including responsibility for complex portfolios and a relevant bachelor’s degree; or 9 years of relevant experience without a bachelor’s degree.
  • 3 years experience in supervisory, project, or technical leadership capacity, required
  • Proficiency with CRMs and productivity tools, required

Responsibilities

  • Serve as the relationship lead for a portfolio ensuring high-quality stewardship and partner satisfaction through best-in-class fund administration and service delivery.
  • Manage portfolio “health” through engagement monitoring, service metrics, exception reporting, and proactive issue resolution.
  • Oversee partner continuity and operational stewardship during complex fund moments.
  • Ensure fund activity aligns with donor intent, internal policies, and regulatory requirements.
  • Partner with internal stakeholders to align service delivery to donor expectations and to ensure a seamless “one team” partner experience.
  • Lead, develop, and coach a team of Fund Administrators delivering support with grants processing and financial reporting, fund maintenance, and partner communications.
  • Translate portfolio demand into staffing and workflow design.
  • Establish performance standards, quality assurance processes, and escalation protocols.
  • Build team fluency in fund structures, service expectations, and values-aligned communication; modeling Tides core values and JEDI practice.
  • Work collaboratively with IT and other teams to improve fund administration workflows and SOPs.
  • Ensure data integrity across CRM/fund systems.
  • Serve as a primary cross-functional partner to Advancement, Finance, Legal, Compliance and Grants teams to resolve discrepancies, reinforce compliance, ensure partner needs are addressed in system and policy roll out planning, and streamline processing.
  • Advance readiness for key tools that enable scaling, using operational insights to inform configuration, workflows, and adoption plans for improvements.
  • Provide escalation support for complex partner needs, translating operational realities clearly and empathetically.
  • Partner with Strategists/Senior Strategists to ensure partners receive timely, cohesive guidance and operational execution supports strategic advisory plans.
  • Maintain discretion and sound judgment with confidential information and sensitive partner dynamics.
