We are hiring a Senior Manager, Fleet & Facilities to lead national fleet and facilities operations, optimize spend, and align vendor and administrative teams with organizational goals. This Senior Manager, Facilities and Fleet will be a key contributor to drive value across the organization through effective fleet and facilities management across Canada. The Fleet & Facilities Senior Manager has the responsibility for managing all elements of spend related to Fleet Operations, Facility contracts, operating costs, and providing strategic leadership and oversight of administrative staff, and vendor relationships. The Senior Manager, Facilities and Fleet role is the face of the company to all current and future landlords who AFL has lease contracts to strategically select partners who can assist with facility contract rationalization, vehicle acquisition, upfitting, vehicle maintenance, fuel consumption, and administrative support, while maximizing the value of our fleet as well as reducing risk across the fleet life cycle. The Senior Manager, Facilities and Fleet oversees the functions and responsibilities of the Managers for Fleet Operations and Office Administration providing strategic direction, performance guidance, and alignment with organizational goals.

Requirements

  • 7+ years of directly related experience.
  • Bachelor’s degree in business, Real Estate, or related field from an accredited university.
  • 2-5+ years of experience in facilities or fleet management, contract negotiations
  • Valid driver’s license in good standing.
  • Excellent real estate fundamentals including valuation and financial statements.
  • Strong competence in reviewing, understanding, and, in concert with legal services, reviewing all forms of real estate contracts and agreements.
  • A high level of proficiency with Microsoft Word and Excel.
  • Strong ability to build relationships with landlords, vendors, internal stakeholders, and clients.
  • Ability to work independently and collaboratively with all staff in a busy environment and handle concurrent tasks under tight deadlines.
  • Ability to think creatively, stay calm under pressure, and meet deadlines.
  • Ability to make sound business decisions and set priorities according to the best interests of the business.
  • Ability to identify and implement long-term projects with a strategic focus.
  • Ability to drive results (beat market, plan, and cover as deliverables to the business).

  • Assists with budget reporting for fleet, facilities and office expenses (must have a solid understanding of Financial Accounting).

  • Ability to guide and influence operational Directors to meet fiscal targets, operational objectives, and strategic goals.
  • Strong analytical and organizational skills to oversee complex operations across, offices, fleet, and facilities.
  • Ability to mentor, coach, and develop staff while maintaining alignment with corporate goals and fostering a culture of continuous improvement.

Responsibilities

  • Manage all elements of facilities and fleet, ensuring efficient, safe, and high-performing teams across all locations.
  • Primary responsibilities include new lease acquisition, lease renewals, acquisition of leased property/buildings, disposition of underused assets, redevelopment or joint venture opportunities, and maintaining a strategic view of the portfolio.
  • Develop business cases, operating expense plans, and budgets to achieve cost containment and support fiscal targets across facilities and fleet
  • Look after verifying, tracking, and paying all facility invoices, manage payments of all rent, and training administrative staff to assist with the process.
  • Develop and maintain relationships with landlords for multi-million-dollar lease contracts.
  • Negotiate and oversee property leases and acquisitions, including marketing, due diligence, and valuation.
  • Assist with municipal applications (Certificates of Insurance etc.)
  • Source and negotiate highly complex outsourced warehousing support agreements.
  • Establish a playbook of processes for providing operational input for new acquisitions, building consolidations, and office setups including furniture, IT, utilities, and equipment.
  • Work closely with the Fleet Services Provider to negotiate and administer lease contracts for all fleet vehicles in Canada, maintain registration/insurance, obtain titles/insurance for new vehicles, and oversee fleet policy execution, preventative maintenance, lifecycle management, fuel consumption, and cost analysis.
  • Responsible for insurance for all AFL locations, filling out renewal applications for fleet and facilities and collaborating with US insurance group. Assist contact manager with any insurance claims.
  • Oversee and mentor administrative staff across all offices, supporting onboarding, training, performance management, succession planning, and professional development.
  • Develop KPIs to measure performance of service providers and vendors, provide feedback, and set expectations for contracts while driving continuous improvement in line with company objectives.
  • Maintain high-level relationships with suppliers, contributors, and clients to guide strategy, ensure customer satisfaction, and identify future business opportunities.
  • Develop and implement risk management strategies across facilities and fleet operations.
  • Performs other duties as assigned & other ad hoc duties.
