About The Position

This role is responsible for processing Lot Operations paperwork, coordinating sale day activities, and managing lot and office operations to ensure efficiency. The specialist will also assist with departmental scheduling, respond to customer requests, and maintain communication with various stakeholders to ensure smooth lot operations. A key part of the role involves capturing and processing electronic images of vehicles, verifying their quality and accuracy, and entering detailed vehicle information into the inspection system. This includes inspecting and documenting the condition of vehicle equipment, options, exterior, and interior. The position requires adherence to all job-related safety and health procedures.

Requirements

• High School Diploma/GED and 5 years’ experience in a related field.
• OR any level degree/certification beyond a HS diploma/GED in a related discipline and 3 years’ experience; OR 7 years’ experience in a related field.
• Safe drivers needed; valid driver’s license required.
• Must be able to clear a pre-employment drug test.
• Applicants must currently be authorized to work in the United States for any employer without current or future sponsorship. No OPT, CPT, STEM/OPT or visa sponsorship now or in future.

Responsibilities

• Processes all Lot Operations’ paperwork, forwarding invoices and items to be posted to appropriate areas in a timely manner.
• Assists with coordination of sale day lineup and execution of sale day activities (e.g. drive, assist customers in locating vehicles).
• Assists with the management of lot and office operations to ensure efficient operations and administration of pre- and post-sale.
• Assists management with coordination of departmental scheduling, working with temporary agencies, serving as a point of contact for recording employee absences.
• Responds to customer requests for assistance and ensures timely resolution.
• Maintains constant communications with commercial accounts, customer support, zone administrators, coordinators, and leadership to ensure effective coordination of lot operations activities.
• Communicates with other units in the auction process to ensure coordinated staging efforts and movement of vehicles.
• Capture and process electronic images of vehicles.
• Upload all pictures associated with electronic condition reports (ECR) and verify the quality and accuracy of each photograph.
• Maintain knowledge of Digital Quality Image (DQI) website.
• Re-image or request re-imaging of any substandard images.
• Verify vehicle identification and enter accurate vehicle information into the inspection system. (i.e., correct VIN, year, make model, sub series, & mileage.
• Inspect vehicle equipment and options, documenting results including damage, previous repairs, structural damage, missing or inoperable items.
• Inspect and record vehicle exterior condition, including but not limited to tires, frame, glass, panels and mechanical components.
• Inspect and record the vehicle interior condition, including but not limited to seats, dashboard and options.
• Enters vehicle data into computer/data management system.
• Follows all job-related safety and health procedures.
• Performs other duties as assigned by leadership.
