About The Position

This role is responsible for processing all Lot Operations' paperwork, forwarding invoices and items to be posted to appropriate areas in a timely manner. The specialist will assist with the coordination of sale day lineup and execution of sale day activities, such as driving and assisting customers in locating vehicles. They will also help manage lot and office operations to ensure efficiency and administration of pre- and post-sale activities. Additionally, this role supports management with departmental scheduling, working with temporary agencies, and serving as a point of contact for recording employee absences. The specialist will respond to customer requests for assistance, maintain constant communication with commercial accounts, customer support, zone administrators, coordinators, and leadership, and communicate with other units in the auction process to ensure coordinated staging efforts and vehicle movement. A key part of the role involves capturing and processing electronic images of vehicles, uploading associated pictures to electronic condition reports (ECR), verifying their quality and accuracy, and maintaining knowledge of the Digital Quality Image (DQI) website. This includes re-imaging or requesting re-imaging of substandard images. The specialist will verify vehicle identification, enter accurate vehicle information into the inspection system (VIN, year, make, model, sub-series, mileage), and inspect vehicle equipment and options, documenting results including damage, previous repairs, structural damage, and missing or inoperable items. They will also inspect and record the vehicle's exterior and interior condition, including tires, frame, glass, panels, mechanical components, seats, and dashboard options, and enter all vehicle data into the computer/data management system. The role requires adherence to all job-related safety and health procedures and performing other duties as assigned by leadership.

Requirements

  • High School Diploma/GED and 5 years’ experience in a related field.
  • OR any level degree/certification beyond a HS diploma/GED in a related discipline and 3 years’ experience; OR 7 years’ experience in a related field.
  • Safe drivers needed; valid driver’s license required.
  • Must be able to clear a pre-employment drug test.
  • Must be authorized to work in the United States for any employer without current or future sponsorship. No OPT, CPT, STEM/OPT or visa sponsorship now or in future.

Responsibilities

  • Assists with the management of lot and office operations to ensure efficient operations and administration of pre- and post-sale.
  • Assists management with coordination of departmental scheduling, working with temporary agencies, serving as a point of contact for recording employee absences.
  • Responds to customer requests for assistance and ensures timely resolution.
  • Maintains constant communications with commercial accounts, customer support, zone administrators, coordinators, and leadership to ensure effective coordination of lot operations activities.
  • Communicates with other units in the auction process to ensure coordinated staging efforts and movement of vehicles.
  • Capture and process electronic images of vehicles.
  • Upload all pictures associated with electronic condition reports (ECR) and verify the quality and accuracy of each photograph.
  • Maintain knowledge of Digital Quality Image (DQI) website.
