Senior Logistics Specialist

ShineOn•Lutz, FL

About The Position

ShineOn is seeking a Senior Logistics Specialist to own the day-to-day execution and cost performance of inbound imports and domestic and international outbound shipping. The role includes coordinating ocean container and air shipments from overseas factories through customs clearance, final delivery, and warehouse receiving; negotiating carrier and freight agreements; maintaining rate models; reconciling invoices; and recovering eligible claims and billing credits. This is a hands-on individual-contributor role leading the logistics function independently, with no direct reports at the start. The specialist partners with Buying; Merchandising and Sourcing; Finance; Operations; Customer Support; B2B; and the Systems team. The role works closely with warehouse teams, overseas suppliers, and logistics partners. Some schedule flexibility is required for overseas coordination, including occasional early or late meetings and urgent shipment expectations. Schedule expectations and backup coverage will be agreed with leadership. The position reports to the VP of Operations.

Requirements

  • At least three years of logistics or transportation experience, or equivalent depth, including independent ownership of carrier relationships and international shipping.
  • Hands-on domestic parcel and international shipping experience, including expedited services, customs documentation, VAT, duties and taxes, and DDP and DAP workflows.
  • Ability to verify destination requirements and engage appropriate specialists.
  • Direct experience coordinating ocean imports from Asia, including containers, BOL review, customs brokers, clearance, drayage, and warehouse delivery, plus practical air and express freight experience.
  • Solid understanding of parcel and freight pricing, including dimensional weight, service eligibility, volume tiers, accessorials, and delivery service levels.
  • Proven ability to negotiate carrier and freight rates, calculate total shipment cost, audit invoices against contracts, and pursue claims and refunds through financial resolution.
  • Experience with shipping systems and inventory or ERP records, including tracing shipments across purchase orders, tracking, receiving, and invoices.
  • Strong Excel or Google Sheets skills, including lookups, pivots, data cleaning, and reconciliation, and experience building reliable logistics reports.
  • Clear written and verbal communication, effective negotiation skills, and experience coordinating partners across time zones.
  • Ability to work independently with strong organization and sound escalation judgment.

Nice To Haves

  • Experience in e-commerce, print-on-demand, or custom merchandise fulfillment.
  • Prior experience at a carrier, freight forwarder, NVOCC, or customs brokerage with exposure to pricing, operations, or billing, especially combined with hands-on import experience.
  • Degree in logistics, supply chain, or a related field, or a relevant credential; equivalent experience is valued.
  • Experience with BI tools, SQL, automation, or AI tools, with independent verification of data and calculations.

Responsibilities

  • Own finished-goods shipments from cargo-ready date through confirmed warehouse receipt, coordinating factories, freight forwarders, ocean and air carriers, customs brokers, and domestic transportation providers.
  • Select FCL, LCL, air, or express shipping based on inventory needs, production schedules, total landed cost, and timing; obtain approval for premium freight and exceptions.
  • Plan for peak demand, factory holidays, and Chinese New Year; track bookings, cutoffs, shipment milestones, releases, and last free days.
  • Arrange drayage, delivery appointments, and empty-container returns, and prevent or dispute avoidable demurrage, detention, and storage charges.
  • Maintain an inbound tracker with shipment references, document status, milestones, costs, owners, and open exceptions; confirm physical receipt and handoff to inventory records before closing shipments.
  • Evaluate and negotiate with parcel carriers, freight forwarders, and transportation providers using actual shipment data; assess rates, surcharges, accessorials, dimensional rules, volume commitments, payment terms, claims coverage, service commitments, and termination terms.
  • Quantify net savings, maintain fallback routing, ensure written agreements reflect negotiated terms, and track rate versions, effective dates, and renewal deadlines.
  • Audit carrier, freight, brokerage, and supplier-arranged shipping invoices against contracts, quotes, and shipment records; investigate duplicates, incorrect rates, reclassifications, and unsupported charges.
  • Reconcile duties, taxes, and pass-through charges to the correct shipment, order, merchant or B2B account, and customer invoice; work with Finance to resolve gaps between amounts incurred, billed, and collected.
  • Own claims and eligible bill-backs for loss, damage, shortages, and service failures, including eligible service-guarantee refunds; meet documentation requirements and deadlines, pursue denied or partial claims, and track cases through credits or refunds in a dispute and recovery ledger.
  • Track carrier performance against service commitments and transit targets, escalate failures with evidence and financial impact, and serve as the primary escalation contact for logistics providers.
  • Coordinate pickups, manifests, cutoff times, peak capacity, receiving capacity, and delivery appointments; resolve missed pickups, unscanned packages, and delivery exceptions across standard, expedited, overnight, and international services.
  • Document discrepancies and arrange corrective action with factories, warehouses, and carriers.
  • Review BOLs, air waybills, commercial invoices, and packing lists against purchase orders, and resolve discrepancies before shipment.
  • Coordinate ISF filings and customs entries with authorized brokers; verify broker authorizations and bond requirements, obtain filing confirmations, maintain shipment and customs records, and resolve clearance holds.
  • Maintain accurate HTS classification, country-of-origin, valuation, and Incoterms data.
  • Maintain auditable Excel or Google Sheets rate models and logistics dashboards; reconcile source totals, preserve shipment identifiers, distinguish orders from packages, and validate calculations before recommending changes.
  • Report shipment and landed freight costs, invoice variance, shipping margin, pickup and delivery performance, import delays, loss and damage rates, and recovery aging.
  • Define measurement periods, denominators, clock starts, and exclusions; set targets against validated baselines; present quantified cost and service recommendations to leadership with causes, financial impact, assumptions, accountable owners, and next actions.
  • Identify opportunities to improve routing, packaging, carrier mix, import planning, and reconciliation; validate package dimensions and eligibility before new products or carriers launch.
  • Work with the systems team to test labels, routing, tracking, negotiated rates, and billing; verify initial production shipments and invoices after changes, and maintain practical exception controls and documented procedures.
  • Serve as the logistics resource for carrier, customs, and delivery questions; coordinate overseas factories and domestic and international partners across time zones with clear updates and timely escalation.
  • Provide reliable shipment updates and confirm handoffs for receiving, inventory records, customer billing, claims, and approved pricing changes.
  • Route carrier agreements, premium freight, claims settlements, and customer bill-backs through company approval; establish backup coverage for time-sensitive clearance and pickup exceptions.
