About The Position

Provides administrative support of a highly complex and responsible nature to the Chief Operating Officer. Works closely with high level internal/external contacts requiring considerable discretion and initiative. May research background material and collect data for office financial plans, budgets and operating statistics, reports, speeches, and correspondence. May carry out assignments relating to civic or committee activities involving fund raising, membership drives, and social functions of the COO. Coordinates schedules for meetings, arranges appointments, schedules visitors, and maintains COO's calendar. Works independently in answering telephone calls and routine correspondence. Exercises judgment to reflect the COO's style and company policy. Develops standard work processes for the department and assigned committees; partners with teams across the organization to ensure completion of time-sensitive reports, projects, presentations and communications. Mentor's and provides guidance on administrative systems and procedural questions to administrative staff and other departments to create and sustain standard work and consistency of practice.

Requirements

  • High school diploma or equivalent experience.
  • Minimum six (6) years of experience in a complex, responsible administrative position, in a large organization.
  • At least four (4) years of experience providing complex administrative support to executive level (VP/SVP+) positions.
  • Experience taking and transcribing meeting minutes.

Nice To Haves

  • BA degree or completion of college-level administration courses.
  • Notary Public.
  • Direct experience working in an academic or publishing environment.
  • Reference Manager experience.
