About The Position

This role provides comprehensive administrative support to the Chief Operating Officer (COO), managing their schedule, communications, and various administrative tasks. The position involves creating business documents, organizing departmental reports, and assisting with special projects. The ideal candidate will have strong organizational and communication skills, proficiency in Microsoft Office and Adobe applications, and a proactive approach to problem-solving. Experience in an executive assistant role, particularly within the insurance industry, is preferred.

Requirements

  • Two to three years of administrative experience required.
  • Strong proficiency with Microsoft Office and Adobe applications.
  • Excellent attention to detail, organization, and communication skills.
  • Strong problem-solving abilities and an analytical mindset.
  • Proactive, adaptable, and highly organized approach to work.
  • Willingness to learn contracts, insurance operations, and related business processes.

Nice To Haves

  • College degree in business, communications, or a related field preferred.
  • Executive assistant experience preferred.
  • Insurance industry experience preferred.
  • Knowledge of entity maintenance desired.

Responsibilities

  • Maintain the COO’s calendar, appointments, and scheduling priorities.
  • Provide day-to-day administrative support to the COO.
  • Review, organize, and draft responses to email communications and general inquiries.
  • Create presentations, reports, and professional business documents.
  • Organize monthly department reporting packages and compile data into usable formats.
  • Draft documents, correspondence, and other materials as needed.
  • Assist with vendor and carrier contract input, tracking, and filing.
  • Support special projects and additional assignments as requested by the COO.
