About The Position

Approvely is seeking a strategic and operational Senior Executive Assistant to support the Founder & CEO. This role is designed for someone who wants to be more than just a scheduler, but a key player in building a category-defining fintech company. The ideal candidate will act as a gatekeeper and operational force multiplier, with a direct growth path to a Chief of Staff position. Approvely is a profitable, bootstrapped payment technology infrastructure platform experiencing hyper-growth. The CEO is a fast-moving founder who needs an operational right-hand to create structure, reduce context-switching, and protect her time. The company culture values speed, extreme ownership, and practical problem-solving. This role requires anticipating needs, managing the CEO's calendar strategically, and ensuring all meetings have a clear purpose and agenda. The position also involves managing and mentoring the Sales & Marketing EA, driving strategic initiatives, improving internal operations, and providing personal executive support.

Requirements

  • 5+ years supporting founders, CEOs, or senior executives, ideally in a fast-paced tech, startup, or B2B SaaS/Fintech environment.
  • Thrive in fast-moving, high-collaboration environments where priorities can pivot based on market opportunities (Startup DNA).
  • Exceptional judgment and an ironclad track record of handling highly confidential data with flawless discretion.
  • Prior experience managing or mentoring other administrative staff is a huge asset.
  • Tech-fluent: proficient in Google Workspace, Slack, Notion, and AI automation tools.
  • Willing and excited to be on-site daily in Boca Raton, FL.

Nice To Haves

  • Prior experience in Fintech, Web3, or Payments.
  • Experience assisting with investor relation pipelines or institutional fundraising rounds.

Responsibilities

  • Masterfully curate the CEO’s schedule to maximize impact over volume, keeping her focused only on highest-value priorities.
  • Take ownership of the CEO's inbox, prioritizing messages, ghostwriting correspondence, responding independently, and flagging critical decisions.
  • Prepare comprehensive briefing documents for meetings, including company backgrounds, CRM history, talking points, and objectives.
  • Track action items across teams to ensure execution.
  • Serve as the head of the internal administrative function, directly managing, mentoring, and balancing the workload for the Sales & Marketing EA.
  • Support strategic initiatives such as fundraising preparation, due diligence requests, investor pipelines, product launches, and enterprise customer implementations.
  • Identify operational bottlenecks, build out team documentation/SOPs, and drive cross-departmental accountability.
  • Handle high-value personal logistics including family scheduling, travel, reservations, and special projects.
  • Leverage AI tools like ChatGPT, advanced CRM platforms, and AI meeting assistants to automate workflows and save time.
