About The Position

This position provides high-level administrative, operational, and strategic support to senior leadership, ensuring the executive’s time, priorities, and communications are managed with precision. This role acts as a trusted partner—anticipating needs, solving problems before they surface, and enabling the executive to focus on organizational priorities. You will oversee complex scheduling, prepare executive-level communications, coordinates cross-functional initiatives, and represent the executive’s office with professionalism and discretion. The role encompasses executive support & calendar management, communication & correspondence, operational coordination, meeting & event management, information & workflow management, relationship management, problem solving & anticipation, and project support.

Requirements

  • Extensive experience supporting C-suite or senior executives.
  • Exceptional organizational, communication, and interpersonal skills.
  • Strong judgment, discretion, and ability to handle confidential information.
  • Advanced proficiency with productivity tools (e.g., Microsoft 365, project management platforms).
  • Ability to manage competing priorities in a fast-paced environment.
  • Strong analytical and problem-solving abilities.
  • Professional presence and ability to interact with stakeholders at all levels.

Responsibilities

  • Manage complex, dynamic calendars; prioritize meetings; coordinate travel; and ensure the executive is fully prepared for all engagements.
  • Draft, edit, and manage high-level communications, presentations, and reports; serve as a liaison between the executive and internal/external stakeholders.
  • Support strategic initiatives, track deliverables, and ensure follow-through on action items across departments.
  • Plan and execute executive meetings, board sessions, offsites, and leadership events, including agendas, materials, and logistics.
  • Maintain confidential records, manage sensitive information, and streamline administrative processes for efficiency.
  • Build strong relationships across the organization; act as a point of contact for senior leaders, clients, and partners.
  • Identify issues before they arise, remove barriers, and proactively support the executive’s priorities.
  • Assist with research, data gathering, and project coordination for strategic initiatives and special assignments.
