About The Position

The Senior Executive Assistant provides high-level administrative and strategic support to the Financial Services division’s four regional Executive Vice Presidents, ensuring the executive’s time, priorities, and communications are managed effectively. This role acts as a trusted operational partner who protects executive focus, coordinates leadership cadence, and ensures critical initiatives move forward with discipline and follow-through. The position requires exceptional judgment, strong organizational awareness, and the ability to anticipate needs before they arise. The Senior Executive Assistant serves as a key coordination point across leadership, internal teams, and external partners—helping maintain alignment across meetings, priorities, and strategic initiatives. Success in this role requires proactive thinking, discretion in handling sensitive matters, and the ability to balance multiple priorities in a fast-paced environment.

Responsibilities

  • Manage the executive’s time, focus, and access to ensure alignment with strategic priorities.
  • Serve as the primary point of contact for requests directed to the executive and evaluate urgency and priority.
  • Manage and protect the executive’s calendar through strategic scheduling and time blocking.
  • Screen meeting requests to ensure alignment with priorities and necessity of executive participation.
  • Anticipate scheduling conflicts and resolve calendar challenges while minimizing downstream disruption.
  • Protect dedicated focus time for strategic work.
  • Provide operational support that enables leadership initiatives and executive priorities to move forward effectively.
  • Build and maintain leadership cadence across weekly, bi-weekly, monthly, and quarterly touchpoints.
  • Maintain visibility into executive priorities across growth, recruiting, M&A, and regional initiatives.
  • Maintain a rolling view of leadership commitments and ensure follow-through across initiatives, meetings, and executive decisions.
  • Prepare leadership materials including presentations, scorecards, and quarterly business review content.
  • Assist in coordinating strategic initiatives and cross-functional efforts as needed.
  • Monitor organizational dynamics and surface emerging issues or friction points when appropriate.
  • Draft and coordinate communications on behalf of the executive.
  • Maintain confidentiality and discretion in all correspondence and documentation.
  • Coordinate meetings, events, and executive engagements to ensure preparation, execution, and follow-through.
  • Prepare meeting agendas and coordinate supporting materials.
  • Arrange meeting logistics including conference space, facility coordination, and catering when required.
  • Capture meeting notes when needed and track action items and follow-ups.
  • Coordinate travel logistics including itineraries and geographically optimized scheduling.
  • Coordinate invitations, RSVP tracking, and logistics for executive-sponsored events or conferences.
  • Adjust travel and meeting logistics as priorities evolve.
  • Support expense management in a proactive and accurate manner.
