About The Position

The Senior Executive Assistant is a highly trusted strategic assistant to the CEO who enables executive leadership to operate at maximum effectiveness. Reporting to the Chief of Staff (CoS), this role is responsible for complex, high-priority, and highly confidential work in close partnership with the COS, CEO, Board of Directors, Senior Leadership Team, or key external stakeholders. The Senior Executive Assistant exercises exceptional judgment, anticipates needs, independently manages competing priorities, and ensures rigorous follow-through in a fast-paced environment.

Requirements

  • A combination of education and experience generally attained through a Bachelor’s degree (preferred, not required) and 6–10+ years of progressively responsible experience supporting C-suite or senior executives in fast-paced, complex environments.
  • Demonstrated ability to drive work to completion across multiple stakeholders (project/program management, action-item tracking, and clear written updates).
  • Exceptional judgment, discretion, and ability to handle confidential information; comfortable navigating ambiguity and making sound decisions within scope.
  • Executive-level communication skills (verbal and written), including the ability to draft clear, concise emails and briefing notes and to support meeting preparation and facilitation.
  • Exceptional attention to detail and strong systems thinking (able to build simple, repeatable processes that reduce friction and improve follow-through).
  • Comfort with basic data and reporting (e.g., maintaining trackers, summarizing status, and identifying risks/issues) to support visibility on executive priorities.
  • Advanced Microsoft Office 365 skills (Outlook, Word, PowerPoint, Excel/Sheets) with the ability to learn and utilize other software as needed.
  • Valid driver’s license and ability to travel as required.
  • Ability to manage multiple priorities, stay calm under pressure, and consistently deliver high-quality work on tight timelines.
  • Strong organizational skills, project management skills, and exceptional interpersonal skills.
  • Ability to work independently with minimal supervision, taking proactive ownership and communicating progress, risks, and decisions clearly.

Responsibilities

  • CEO Support: Executive prioritization and calendar strategy, Owns the prioritization and triage of executive requests, decisions, and competing demands, Manages confidential matters with discretion and appropriate record retention, Supports the CEO in managing relationships with a portfolio of donors and other high-profile stakeholders, Develops high-quality agendas, briefing materials, background documents, and decision-support content for internal and external meetings, Provides oversight and tracking of electronic and hardcopy filing systems, sustains and develops organization-wide records and documents, and regularly audits and reviews various lists, records, processes, and information, Provides confidential support for Executive Office communications to key stakeholders, Creates a positive work environment where two-way, open communication and strong sense of trust are established, Oversees Executive Department budget.
  • Board of Directors Support: Schedules and facilitates logistics for all board and committee meetings, Prepares meeting agendas, presentations, and materials, Arranges meeting locations, meals, and technology as required, Plans and coordinates board orientation, Coordinates and sustains membership, meeting work plans, and activities of the Board of Directors and Committees of the Board, Facilitates regular and ongoing communications to Board members, Provides administrative support to the Board of Directors when needed.
  • Senior Leadership Team Support: Operating cadence & follow-through: maintains key CEO/SLT rhythms, captures decisions and action items, and ensures owners, deadlines, and next steps are clear and tracked to completion, Briefings & preparation: prepares concise pre-reads and briefing notes, assembles the right context and materials, and anticipates questions so the CEO can make high-quality decisions efficiently, Special projects: leads or supports cross-functional projects on behalf of the CEO/CoS, escalating risks and removing obstacles to keep work moving, Basic reporting & visibility: supports simple tracking dashboards and status updates so leadership has visibility into progress on top priorities.
