About The Position

The Senior Executive Assistant is a highly organized, professional, and proactive business partner responsible for providing senior-level support to the President. Working closely with the President and cross-functional leadership teams, this role helps drive organizational effectiveness by managing priorities, facilitating communication, and ensuring key initiatives and deliverables progress efficiently across the business. This position requires professionalism, discretion, sound judgment, and the ability to anticipate needs, manage competing priorities, and operate effectively in a fast-paced environment. The ideal candidate brings strong executive support experience, exceptional communication skills, and the confidence to interact effectively with stakeholders across all levels of the organization.

Requirements

  • 5+ years of experience providing executive-level or senior leadership support
  • Exceptional organizational and time management skills with the ability to manage multiple competing priorities
  • Strong written and verbal communication skills
  • Advanced proficiency with Microsoft Office, including Outlook, PowerPoint, Excel, and Word
  • Experience preparing executive presentations, reports, meeting minutes, and business correspondence
  • Strong attention to detail and ability to maintain confidentiality and professionalism
  • Ability to work independently, anticipate needs, and exercise sound judgment

Nice To Haves

  • Post-secondary education in Business Administration, Office Administration, Communications, or a related field is considered an asset
  • Experience supporting leadership within a manufacturing, operational, or fast-paced business environment is considered an asset

Responsibilities

  • Prepare meeting agendas, capture meeting minutes, and document key actions, decisions, and follow-up items from leadership and operational meetings
  • Coordinate follow-up with internal stakeholders to support progress and accountability on key projects, initiatives, and deliverables
  • Manage executive calendars, scheduling, travel arrangements, and related logistics for the President
  • Prepare presentations, executive summaries, board materials, reports, and business correspondence
  • Track key business dates, priorities, timelines, and deliverables to support effective coordination and project execution
  • Create, organize, and maintain operational and executive reporting tools and documentation
  • Facilitate communication and alignment between the President and cross-functional leadership teams
  • Maintain organized and confidential executive files, records, and documentation
  • Exercise professionalism, discretion, and sound judgment while handling confidential and sensitive information
  • Identify opportunities to improve executive administrative and coordination processes
