About The Position

We are seeking a Senior Executive Assistant to provide confidential, high-level administrative and project support to the President and Chief of Staff in the Office of the President. This role ensures seamless executive operations by managing complex schedules, preparing high-quality materials, coordinating engagements, and serving as a trusted point of contact for internal and external stakeholders.

Requirements

  • High school diploma or equivalent.
  • Minimum of six (6) years of relevant executive-level support experience.
  • Advanced proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel) and collaboration tools (e.g., Teams, WebEx).
  • Demonstrated ability to manage highly sensitive, confidential information with discretion and tact.
  • Strong written and oral communication skills; able to interact effectively across all levels of the organization and with external stakeholders.
  • Exceptional time management and prioritization skills; comfortable handling multiple competing priorities.
  • Candidates with less experience may be considered for the Executive Assistant (A6) level.

Responsibilities

  • Manage the President’s daily calendar and travel logistics; proactively resolve conflicts and ensure optimal scheduling.
  • Handle correspondence, phone calls, and visitor coordination with professionalism and confidentiality.
  • Prepare briefing materials for meetings; track deadlines, approvals, and follow-ups to drive timely execution.
  • Serve as confidential administrative support to the President and Chief of Staff.
  • Support and backstop the Senior Executive Assistant and the Senior Executive Assistant to the First Vice President as needed.
  • Open, sort, and prioritize incoming mail and email; draft responses for officer’s signature and proofread correspondence.
  • Set up meetings and conference calls; arrange complex travel, off-site meetings, and events including logistics and audiovisual needs.
  • Develop and maintain sensitive paper and electronic filing systems; maintain department organization charts and tracking reports.
  • Assist in developing presentations and spreadsheets; compile information and status reports upon request.
  • Administer and support SharePoint sites and other collaboration tools; provide minor technical assistance for hybrid meetings.
  • Operate office equipment (copiers, telecommunications, fax) and ensure efficient office workflows.
  • Coordinate Bank or department-sponsored activities and events, ensuring timely communication and execution.
