About The Position

Responsible for managing high-level administrative, strategic, and communications support to C-Suite executives and their direct reports, as needed. Represents executive team members in dealings with third parties and prioritizing and handling correspondence. Maintains a high level of detail and accuracy, and provides administrative support to a company of diverse people and programs. Ability to handle sensitive matters with tact, professionalism, and confidentiality.

Requirements

  • Required to have High School Diploma or equivalent.
  • Required experience performing clerical functions, accurate typing, and using current office automation technologies.
  • Oral communication, written communication, fluency in English, active listening.
  • Demonstrated intermediate technology skills. Especially MS office, including word, powerpoint, sharepoint, and excel.
  • Other than for designated full-time remote positions, in-office attendance is essential in order to achieve Enhabit objectives, including but not limited to, effective supervision, teamwork, task completion, and other position objectives. Enhabit does not waive this essential function by permitting duties to be performed remotely on occasion to accommodate temporary personal needs, such as appointments, or to operate in crises beyond its control, such as during a natural disaster or pandemic.

Nice To Haves

  • Preferred to have Bachelor's Degree.
  • Other administrative professional certification encouraged and valued.
  • Preferred minimum five years of administrative assistance experience, with two years executive assistant experience supporting C-Suite executives.

Responsibilities

  • Manage complex executive team calendars; schedule and plan for executive meetings, conference calls, speeches, presentations, luncheons and various appointments while keeping business priorities in mind.
  • Arrange travel needs for executive team; book flights and prepare point-to-point travel itineraries, including driving directions, hotel reservations, and ground transportation arrangements.
  • Screen and route basic internal and external communications; field incoming telephone calls, draft and distribute memos, general letters, and e-mail communications in a confidential and diplomatic manner.
  • Review and manage requests for executive speaking engagements and other public appearances.
  • Assist the board of directors with meetings, conference calls, and assembling of board materials.
  • Manage board member travel arrangements (air, ground, hotel) and preparation of detailed itineraries.
  • Proficiency in navigating board portal systems and adapting to new technologies that streamline board document workflows.
  • Maintain and update applicable electronic databases and paper files.
  • Prepare reports and charts with graphics using the appropriate software.
  • Complete all other duties as assigned.
