About The Position

Outreach is seeking an exceptional Senior Executive Assistant to provide high-level administrative and operational support to the Chief Technology Officer and Chief Product Officer. This role involves managing schedules, travel, and communications, and acting as a liaison between the executives and other teams. The ideal candidate thrives in fast-paced environments, enjoys problem-solving, collaborates well with others, and is highly organized.

Requirements

  • 5+ years of experience as an Executive Assistant.
  • At least 3 years supporting executives in a high-growth start-up environment.
  • Exceptional writing and verbal communication skills.
  • Resourceful and skilled in problem-solving.
  • Fast learner with a strong sense of urgency and ability to anticipate needs.
  • Exceptional follow-through.
  • Ability to work independently and as part of a team.
  • Superior organizational aptitude and attention to detail.
  • Proficient in Gmail/Google Suite.
  • BA/BS degree or equivalent experience.

Nice To Haves

  • Experience working with Engineering and Product strongly preferred.

Responsibilities

  • Manage daily calendars and executive travel across multiple Global time zones, solving complex scheduling situations.
  • Prepare meeting agendas, materials, and minutes, and track action items.
  • Communicate directly and on behalf of the engineering, product, security, and technical support teams internally and externally, including VIP stakeholders, vendors, and company-wide communications.
  • Work with C-level leaders and tenured teams on business rhythms and events.
  • Execute special projects and project manage events, partnering with cross-functional teams and managing deadline pressures.
  • Anticipate leaders' needs, streamline workflows, and identify opportunities for improvement.
  • Act as an effective barometer for incoming issues to determine urgency and appropriate courses of action.
  • Maintain records and files, including confidential information, and manage CRM data.
  • Process and reconcile expenses accurately.
  • Prioritize conflicting needs while handling matters expeditiously with proactive follow-through.
  • Build strong relationships to establish and maintain credibility, trust, and confidence with executive staff and peers.
