About The Position

Mercer University is searching for a Senior Executive Administrative Assistant to the Senior Vice President for Administration and Finance on the Macon, Georgia campus. The Senior Executive Assistant provides high-level administrative and financial support under indirect supervision. This role manages and audits departmental budgets and revenue accounts, oversees business transactions, and ensures compliance with policies and procedures. This position will be responsible for a broad variety of high-level administrative tasks, including: ensuring effective communications; managing financial and budgetary processes under the direction of the Senior Vice President; coordinating complex schedules and calendars; and making travel arrangements. The Senior Executive Assistant interacts daily with constituencies both inside and outside of the university and requires the ability to work independently on tasks and projects, and thrive in a multi-faceted role which requires the ability to handle a wide variety of activities and confidential matters with discretion.

Requirements

  • A bachelor’s degree from an accredited university/college and at least one year of progressively responsible administrative support experience, which must include basic accounting and/or bookkeeping, is required.
  • Comprehensive understanding of financial management principles, including basic accounting and/or bookkeeping.
  • Knowledge of or ability to quickly learn University policies, procedures, and procurement processes.
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks.
  • Advanced proficiency in Microsoft Office Suite and ability to learn various enterprise systems (e.g., Workday).
  • Excellent written and verbal communication skills for professional correspondence.
  • Problem-solving skills to address scheduling conflicts and operational issues.
  • Skill in utilizing office productivity tools (Word, Excel) to create and manage documents, expense reports, and spreadsheets, along with experience in or ability to learn University accounting systems.
  • Ability to deliver excellent customer service while effectively communicating with University stakeholders and internal departments.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Ability to work independently under minimal supervision while managing complex tasks.
  • Ability to collaborate across departments and build professional, positive working relationships.
  • Ability to adapt to changing priorities and work in a fast-paced environment.
  • Knowledge of Microsoft Outlook and maintaining calendars.
