About The Position

Opus Agency is a global event agency with over 400 team members across multiple international locations. They work with major clients like Amazon, Google, Microsoft, Salesforce, and ServiceNow. The agency focuses on shaping the future of events in an AI-infused world, emphasizing the importance of real-world connections. The Event Management team plays a key role in this vision, partnering with leading brands to drive innovative event marketing strategies. The Senior Event Coordinator will lead small-scale in-person and digital events and experiential campaigns with limited supervision, owning components of small to medium-scale events and assisting on others. Event components can include facility and vendor management, food and beverage coordination, temporary staff, exhibit hall management, sponsorship, or signage management. Assigned programs may include conferences, trade shows, dinners, corporate galas, and incentive programs. This role offers the opportunity to work with industry leaders in a dynamic agency environment.

Requirements

  • 2+ years of project / event management experience, preferably in the event industry.
  • Demonstrated experience leading and owning components on events. Please specify events worked on and role in resume.
  • Computer skills including Microsoft Office (Word, Excel, OneNote, PowerPoint, etc.) and Google Suite.
  • Displays strong critical thinking, organizational, and analytical capabilities.
  • Strong project management skills.
  • Demonstrate strong verbal and written communication, presentation skills & email.
  • Ability to effectively prioritize workload on multiple projects & events simultaneously.
  • Successfully perform in high stress, fast-paced environment.
  • Accept changes with short notice and tolerate frequent interruptions.
  • Ability to maintain high levels of confidentiality.
  • Work collaboratively with other employees, vendors, and clients.
  • Portray professional presence through superior communication, presentation, promptness, and appearance.
  • Language Skills - Ability to write reports, business correspondence, and procedure manuals. Ability to present information and respond to questions from a group of managers, clients, customers, or the public. Ability to interact both on a one-to-one and group basis.
  • Mathematical Skills - Ability to apply concepts of basic algebra and geometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Ability to create, monitor and understand budgets, debits, credits, and reconciliation.
  • Reasoning Skills - Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Responsibilities

  • Assume responsibility for success of assigned components of an event or project, meeting client objectives and client and manager expectations.
  • Utilize creative problem solving all along the planning cycle, consistently looking for ways to deliver more effectively.
  • Master effective and timely communication between internal team, clients, and vendors via phone and email.
  • Effectively interface with financial manager and manage component specific budgets with proactive communication.
  • Report to program lead(s) as assigned, on a regular basis with project progress, identified problems and solutions.
  • Establish good relations with vendors and work with vendors in securing needed materials on time, within budget and meeting requested specifications.
  • Maintain excellent communication with manager regarding special problems or exceptions to policies and procedures.
  • Able to effectively delegate to staff above and below this position.
  • Keep teams updated on new program processes, current program issues, ongoing challenges and solutions.
  • Manage vital program documents such as: event contact sheet, production schedule, event timeline, onsite crew cards, meeting agendas and notes, PowerPoint decks, show plan, and wrap-up document.
  • Actively participate in team meetings as required by providing challenges and solutions to benefit other team members and treating all proprietary information as confidential.
  • Training and mentorship of junior team members.
