About The Position

This role involves creating, revising, reformatting, and converting documents using various support software, including Microsoft Office applications, PDF editing tools, and transcription software. The specialist will prepare and edit complex documents, spreadsheets, and charts, and provide coordination and administrative support for special projects. Efficient handling of time-sensitive and confidential materials, along with performing document diagnostic activities related to troubleshooting document inconsistencies, are key aspects of this position. The role also includes creating and/or revising work product using direct keyboard entry, scanner, or electronic conversion methods, and transcribing audio and digital dictation, including deposition transcripts as required. Maintaining up-to-date knowledge of specialized applications and upgrades for maximum efficiency and productivity is essential. Additionally, the Senior Document Services Specialist will provide feedback and insight into team members' performances when requested, promote teamwork, confidence, and positive attitudes, and provide directions, instructions, and guidance to the team. Assisting with reviewing re-works or poor job outputs from team members is also part of the responsibilities.

Requirements

  • HS Diploma or GED
  • Ability to learn the responsibilities listed above through a combination of in-person training, remote training, and self-guided learning
  • Strong initiative required; ability to work independently with minimal direct supervision
  • Working knowledge of Microsoft applications (Outlook, Word, Excel, and PowerPoint)
  • Excellent skills in spelling, grammar, punctuation, sentence structure and proofreading
  • Ability to organize and prioritize multiple assignments
  • Ability to excel under pressure within established timeframe and provide quality work product
  • Possess strong communication, interpersonal, teamwork and customer service skills

Nice To Haves

  • 3+ years working in document outsourcing or legal industry preferred
  • Experience working with Adobe Acrobat or Kofax for the manipulation of PDF files a plus

Responsibilities

  • Provide feedback and insight into each team member’s performances when requested
  • Promote and encourage teamwork, confidence, and positive attitudes
  • Provide directions, instructions, and guidance to the team
