About The Position

KIPP NYC has a bold organizational vision that requires disciplined project management, strong operational leadership, and the ability to create clarity, alignment, and momentum across competing priorities. Reporting to the Chief of Staff, the Senior Director, Project Management and Office Operations (PMOO) plays a dual role in support of these objectives: leading a critical body of evergreen work (60%) and operating as part of an organization-wide project management office function (40%). Evergreen work: The PMOO is responsible for designing and stewarding complex operational initiatives related to workplace operations, knowledge management, and culture. This leader builds the systems and practices that reduce friction and support the day-to-day effectiveness of the Shared Services Team (SST) office. Success in this role requires someone who can bring structure to ambiguity, think systemically about how organizations function, and confidently manage multiple complex workstreams. The PMOO manages one direct report, the Office Coordinator. This is a full-time position with a hybrid schedule, requiring a minimum of three in-person days per week based out of our KIPP NYC Midtown Manhattan office. The role may also include travel to KIPP NYC campuses across the Bronx, Brooklyn, and Manhattan. The cadence and frequency of school visits will be determined by your leadership team.

Requirements

  • 10+ years of progressively complex project management and organizational execution experience leading large-scale initiatives within dynamic environments.
  • Experience leading workplace or office operations, including facilities management, vendor coordination, and the operational practices that shape how people function within shared work environments.
  • Strong people management and coaching skills, with the ability to develop team members while maintaining high standards for execution and accountability.
  • Strong relationship-building skills and the ability to earn trust and influence across levels and departments without positional authority.
  • Exceptional written, presentation, and interpersonal communication skills, with the ability to tailor messaging effectively for diverse audiences and leadership levels.
  • Adept at leveraging workflow and presentation tools like Asana, PowerPoint, and Canva.
  • A genuine investment in contributing to workplaces where staff feel seen, supported, and equipped to do their best work.
  • A healthy measure of the character traits we value: zest, grit, hope, love, social intelligence, gratitude and a sense of humor.
  • A Bachelor’s degree is required.

Nice To Haves

  • Formal project management training or certifications such as PMP, Agile, Lean Six Sigma, are strongly preferred.

Responsibilities

  • Set and drive a long-term vision for the SST office environment that raises the standard for how the space supports collaboration and organizational effectiveness.
  • Design and implement effective space planning, facilities coordination, vendor management, inventory, and workplace logistics systems and practices.
  • Direct the planning and coordination for hosting meetings and larger convenings, ensuring the experience consistently reflects a high level of preparation and operational excellence.
  • Architect the standards, governance practices, and systems that determine how institutional knowledge is captured, maintained, and accessed across the network.
  • Build systems and practices that reduce dependency on informal or siloed knowledge and support the continuity of excellent work across the organization.
  • Design and cultivate a workplace environment and operational culture that helps people feel connected to one another and supported in doing high-quality work.
  • Establish and reinforce community-building practices, workplace rhythms, and shared experiences that strengthen trust, recognition, and relationships across the SST office.
  • Guide and coordinate staff culture efforts in partnership with the Office Coordinator and a team of 9+ cross-functional culture leaders, helping to create moments of connection and celebration.
  • Create the structures and workflows that enable the Office Coordinator to operate with clarity, ownership, and increasing autonomy.
  • Coach and develop the Office Coordinator, providing clear direction, consistent feedback, and the support they need to perform at a high level and grow and advance.
  • Guiding and coordinating staff culture efforts in partnership with the Office Coordinator and a team of 9+ cross-functional culture leaders.
