About The Position

This position provides leadership and oversight of the daily administrative and operational functions of the Office of the President. The position is responsible for coordinating office operations, personnel administration, budget support activities, facilities and space management, special projects, and administrative processes that support the effective functioning of the President’s Office. The position supervises office staff, ensures compliance with University policies and procedures, and serves as a key operational resource for matters involving human resources, budgeting, facilities, and office administration.

Requirements

  • Master's and 2+ years of relevant experience or Bachelor's degree and 4+ years of relevant experience.
  • An equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
  • This position requires a background check.
  • This position may also require a credit check.
  • The incumbent must promptly report allegations of sexual misconduct, sexual violence, and child sexual abuse by or against any student, employee, contractor, or visitor to the University’s Title IX Administrator or any divisional Title IX Coordinator.

Responsibilities

  • Provides leadership and oversight for administrative operations within the Office of the President to ensure efficiency, effectiveness, and alignment with University policies and procedures.
  • Resolves administrative and operational issues affecting the Office of the President and coordinates appropriate solutions with University departments and stakeholders.
  • Evaluates administrative processes and recommends improvements to enhance operational effectiveness and customer service.
  • Coordinates logistics for meetings, events, and activities hosted by the Office of the President.
  • Coordinates planning, development, and monitoring of budgets supporting the Office of the President and associated funding sources.
  • Works collaboratively with University business and finance personnel to support budget planning, forecasting, reconciliation, and reporting activities.
  • Reviews and approves leave requests, timesheets, and other personnel transactions in accordance with University policies and procedures.
  • Supports the performance, development, and training of Office of the President staff through coaching, goal setting, performance management, and professional development activities.
  • Coordinates recruitment, onboarding, employee transitions, and other workforce planning activities for the Office of the President.
  • Serves as the primary liaison with Human Resources regarding matters affecting the President's Office.
  • Ensures compliance with University policies, procedures, record retention requirements, and administrative regulations.
  • Coordinates office space planning, furniture needs, equipment purchases, and related operational requirements.
  • Serves as the primary operational contact for facilities-related matters affecting the Office of the President, including renovations, office improvements, and construction projects.
  • Assists with special projects and initiatives assigned by the President or designee.
  • Serves as backup for key office functions during staff absences, vacancies, or periods of increased workload to ensure continuity of operations.
  • May serve as the building's backup Emergency Coordinator, assisting with emergency preparedness efforts, communications, and coordination of building safety procedures.
  • Performs other related duties as assigned.
