Requirements

  • Associate degree preferred; equivalent work experience will be considered.
  • 2+ years of office administration, office coordination, operations, or administrative experience preferred.
  • Strong organizational and time management skills with the ability to independently prioritize and manage multiple projects.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Strong attention to detail, follow-through, and problem-solving skills.
  • Ability to work independently, take initiative, and manage responsibilities with minimal supervision.
  • Ability to collaborate effectively with employees, leadership, vendors, and multiple departments.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Positive, professional attitude with a strong customer service mindset.
  • Ability to anticipate needs, identify issues, and proactively develop solutions.
  • Ability to lift and move packages weighing up to 30 pounds.
  • Ability to stand, bend, and move throughout the office as needed.
  • Ability to occasionally transport office supplies, equipment, and event materials.
  • Ability to perform routine physical activities associated with office operations, including receiving, organizing, and distributing supplies and packages.

Responsibilities

  • Coordinate daily office operations and administrative activities to ensure the office runs efficiently.
  • Maintain an organized, clean, professional, and welcoming office environment.
  • Manage the ordering, inventory, and restocking of office supplies, kitchen supplies, and company merchandise.
  • Coordinate office maintenance, repairs, and service requests and communicate with vendors as needed.
  • Manage conference rooms, common areas, and shared office spaces to ensure they are properly maintained and prepared for use.
  • Identify office needs and proactively address operational issues.
  • Establish and maintain organized processes for routine office operations.
  • Consistently demonstrate and uphold the company’s Core Values through interactions with employees, leadership, vendors, and visitors and in the execution of their responsibilities.
  • Prepare and ship new hire equipment and materials.
  • Coordinate the shipment, delivery, and tracking of company equipment and materials.
  • Prepare and ship marketing materials, promotional items, and event supplies for conferences, trade shows, recruiting events, and other company functions.
  • Maintain accurate shipping records and tracking information.
  • Coordinate the receipt, organization, and distribution of packages and company materials.
  • Maintain accurate inventory records for company equipment and branded merchandise.
  • Coordinate onboarding logistics, including preparing new hire materials, workspace supplies, and equipment shipments.
  • Coordinate employee recognition initiatives and company engagement activities.
  • Maintain office calendars, meeting schedules, and operational communications as needed.
  • Serve as a resource for employees regarding office-related questions, supplies, equipment, and workplace needs.
  • Coordinate administrative processes and projects that support the efficient operation of the organization.
  • Provide administrative coordination across departments as needed.
  • Plan and coordinate company meetings, employee appreciation events, holiday celebrations, volunteer activities, team-building events, and other company functions.
  • Manage event logistics, including venue arrangements, catering, travel, supplies, decorations, and vendor communication.
  • Coordinate conference and trade show preparation with marketing, including organizing materials, managing inventory, and coordinating shipments.
  • Maintain an event calendar and coordinate timelines, deadlines, and logistics to ensure successful execution.
  • Partner with internal stakeholders and vendors to ensure events are organized and executed effectively.
  • Maintain accurate inventory of office equipment, supplies, promotional items, and company swag.
  • Monitor inventory levels and proactively order materials to prevent shortages.
  • Coordinate purchases with approved vendors and maintain vendor relationships for assigned office services.
  • Obtain quotes and coordinate purchases in accordance with company processes.
  • Assist with invoice processing and tracking of office-related expenses.
  • Maintain organized records of vendor contacts, purchases, and office-related expenses.
  • Coordinate special projects and initiatives related to office operations and employee experience.
  • Develop and maintain organizational systems, processes, and documentation related to office operations.
  • Assist with document preparation, filing, data entry, and other administrative activities as needed.
  • Identify opportunities to improve office processes, efficiency, and the overall employee experience.
  • Perform other office operations and administrative duties as assigned.
