About The Position

The Office Operations & Legal Coordinator, is the primary owner of day-to-day operations for the New York Office (NYO) and is responsible for supporting the Legal Department through management of digital lease files and legal documentation. This role ensures the seamless execution of all administrative, workplace, and vendor-related activities, maintaining a highly functional and professional office environment. The position regularly interacts with senior and executive-level leadership and is expected to demonstrate strong professionalism, discretion, and presence in all interactions.

Requirements

  • High School Diploma
  • Prior experience in an administrative, office operations, or legal support role
  • NY Notary - Have or are willing to obtain within the first three months of employment

Responsibilities

  • Provide high-touch, responsive support to senior and executive-level leadership, ensuring a seamless and professional workplace experience
  • Serve as the primary owner of day-to-day NYO office operations, ensuring a seamless, high-functioning workplace environment
  • Own and manage all NYO administrative and operational processes from initiation through completion
  • Maintain NYO calendar and Tanger directory to ensure accuracy of employee presence and building access
  • Coordinate all new hire onboarding logistics, including badge requests, badge receipt, office tours, and workspace readiness
  • Manage office supply inventory, including ordering, restocking, and maintaining overall office readiness
  • Oversee office equipment maintenance (e.g., coffee machines, water systems) to ensure functionality
  • Serve as primary point of contact for vendors and building services (e.g., ProShred, Quench Water), including scheduling, system entry (SV3), COI tracking, and access coordination
  • Coordinate and facilitate vendor visits, ensuring compliance with building access protocols
  • Manage guest registration and ensure a seamless entry experience in accordance with building procedures
  • Act as liaison with building management, concierge, and front desk personnel
  • Respond to and resolve day-to-day operational needs in real time, ensuring minimal disruption to employees and leadership
  • Ensure office readiness at all times, including supplies, shared spaces, and overall organization
  • Support building safety protocols, including participation in designated roles such as Deputy Warden and coordination of emergency preparedness activities
  • Manage and maintain digital lease files and repositories, ensuring accurate organization, indexing, and accessibility of all legal documents.
  • Maintain databases and tracking systems for active and closed lease files.
  • Save legal documents to digital repository (Laserfiche).
  • Monitor and manage digital file retention and disposition in accordance with company policy.
  • Support Legal Services Specialist with document preparation, mailings and overnight transmittals, and administrative processes.
  • Assist with maintaining electronic databases of real property documents.
  • Support the legal real estate team by uploading, organizing, and indexing real estate documents, including acquisition and disposition related materials.
