About The Position

The Senior Coordinator, Information Technology provides high-level coordination, administrative, and business support for assigned leaders, departments, projects, and initiatives. This role serves as a central point of contact for internal teams, external partners, vendors, and business stakeholders, ensuring timely communication, accurate follow-through, and effective coordination across multiple priorities. The Senior Coordinator, Information Technology supports executive-level scheduling, meeting preparation, documentation, minutes, action item tracking, reporting, process coordination, and basic business analysis activities, including gathering requirements, organizing information, identifying workflow gaps, and helping translate business needs into actionable next steps.

Requirements

  • Associate degree in Business Administration, Healthcare Administration, Communications, Information Systems, or related field required; Bachelor’s degree preferred. Equivalent combination of education and relevant experience may be considered.
  • Three to five years of progressively responsible administrative, coordination, project support, business operations, or business analyst-related experience required.
  • Experience supporting senior leaders, coordinating cross-functional initiatives, working with vendors or external partners, applying project management principles and practices, and preparing meeting materials, notes, reports, and follow-up documentation preferred.
  • Healthcare, information technology, or multi-site business environment experience preferred.
  • Demonstrated experience managing calendars, coordinating meetings, documenting action items, supporting projects, and communicating with multiple stakeholders.
  • Experience gathering information, documenting processes, tracking deliverables, and supporting business analysis or process improvement activities.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, schedules, and deliverables with accuracy and attention to detail.
  • Excellent written and verbal communication skills, including the ability to prepare professional meeting notes, summaries, correspondence, reports, and presentations.
  • Ability to work effectively with executives, leaders, internal business units, hospital or operational teams, vendors, consultants, and external partners.
  • Ability to gather and organize business requirements, document workflows, identify gaps, track risks and issues, and support process improvement efforts.
  • Knowledge of project management principles and practices, including planning, scheduling, tracking deliverables, documenting risks and issues, coordinating dependencies, and supporting timely follow-up.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams; ability to learn and use project tracking, collaboration, reporting, and business systems as needed.
  • High level of professionalism, discretion, sound judgment, customer service orientation, and ability to maintain confidentiality.
  • Ability to work independently, anticipate needs, follow through on commitments, and escalate issues appropriately.

Responsibilities

  • Provides senior-level coordination support for assigned leaders, departments, projects, and initiatives, ensuring priorities are organized, tracked, and completed accurately and timely.
  • Manages complex calendars, schedules meetings, coordinates logistics, prepares agendas, gathers materials, and ensures leaders and participants are prepared for meetings and follow-up activities.
  • Records meeting notes, decisions, risks, issues, and action items; distributes summaries and follows up with responsible parties to support accountability and timely completion.
  • Serves as a liaison among internal departments, hospital or business units, external vendors, consultants, and business partners to facilitate communication, resolve scheduling or coordination barriers, and maintain alignment across workstreams.
  • Supports basic business analysis activities by gathering and organizing stakeholder input, documenting current-state processes, identifying gaps or opportunities, and helping define business needs, requirements, and desired outcomes.
  • Assists with development and maintenance of reports, presentations, dashboards, project documentation, process maps, status updates, and other business materials for leadership review and decision-making.
  • Coordinates project and operational work plans, timelines, deliverables, milestones, dependencies, and follow-up items in partnership with business owners, project teams, and external partners.
  • Maintains accurate records, files, trackers, contact lists, meeting materials, project documentation, and other department resources in accordance with company standards and confidentiality requirements.
  • Drafts, edits, and formats correspondence, communications, presentations, meeting materials, and documentation with attention to accuracy, clarity, professionalism, and appropriate audience.
  • Processes or coordinates administrative items such as invoices, purchase requests, expense reports, travel arrangements, onboarding logistics, supply needs, and other operational support activities as assigned.
  • Uses independent judgment to prioritize competing requests, anticipate needs, escalate issues appropriately, and support smooth day-to-day operations in a fast-paced environment.
  • Maintains discretion and confidentiality when handling sensitive business, personnel, operational, financial, vendor, or patient-related information.
  • Promotes a collaborative, service-oriented approach when working with leaders, peers, team members, facilities, vendors, and external business partners.
  • Performs other duties as assigned.
