About The Position

This position will provide office support within the Facilities Management division of the Department of Transportation. The role contributes to a strong and empowering culture of TRREC: Trust, Relationships, Respect, Empowerment, and Communication. Requirements

  • A High School Diploma or Certificate of High School Equivalency
  • Knowledge of GENERAL OFFICE PROCEDURES AND PRACTICES
  • Knowledge of CORRECT GRAMMAR USAGE
  • Knowledge of BASIC ARITHMETIC
  • Skills in USING ELECTRONIC MAIL, WORD, AND EXCEL

Responsibilities

  • Creates and processes correspondence and requests from staff and management.
  • Creates reports.
  • Reviews documents for accuracy and completeness.
  • Uses electronic mail, Word, Excel, SharePoint, Teams, FDOT Service Center Portal, and other computer systems/databases used by Facilities Management.
  • Uses standard office equipment.
  • Assists vendors and customers who call, e-mail, or visit the Facilities Management Office.
  • Reserves and coordinates meeting spaces for use by other FDOT districts, State of Florida entities, and other approved entities.
  • Receives incoming mail and processes outgoing mail for the work unit.
  • Collects, monitors, completes, and submits utilities costs information for the Department of Management Services Energy Report.
  • Maintains electronic and paper file systems.
  • Procures services, equipment, furniture, supplies, and utilities.
  • Obtains quotes as needed, prepares, and processes electronic procurement documentation and purchasing card charges in accordance with current policies, procedures, rules, statutes, and agency directions.
  • Vendor invoice/warrant processing is required to perform these duties.
  • Completes and submits SharePoint Purchase Requests and Information Resource Requests (IRRs) as needed.
  • Makes travel arrangements and processes travel requests and reimbursements.
  • Serves as primary backup for the Front Desk Receptionist, which includes answering calls, assisting callers, greeting and assisting visitors, controlling building access, issuing visitor badges, directing visitors, maintaining visitor logs and badge inventories, and following security procedures.
  • Serves as a Safety Coordinator.
  • Serves as backup to the District Seven Surplus Property Custodian.
  • Serves as backup for record keeping, tracking, storage, and retrieval of records in Central Files.
  • Serves as backup for the Mail Center Clerk.
