About The Position

This is work controlling the caseload of HIV patients receiving services from the AIDS Drug Assistance Program at the Miami-Dade County Health Department Pharmacy by ensuring compliance with state program requirements and proper issuance of required documents relative to the provision of the pharmacy services in compliance with the program eligibility and requirements. Incumbent will work as a liaison among patients, pharmacy and ADAP staff to provide effective services. Coordinate the patient load to ensure the proper use of the program resources and the timely provision of client services. This position reports to the Program Supervisor in the AIDS Drug Assistance Program.

Requirements

  • Clerical - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, retrieving documents and data electronically and hard copy.
  • Reading Comprehension — Understanding written sentences and paragraphs in work related documents
  • Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

Responsibilities

  • Reviews the information and documentation for all ADAP clients requesting services at the ADAP Program & Pharmacy in Miami to ensure that meet the Florida Department of Health HIV Patient Care Core Eligibility and ADAP Program Qualifications by checking the DOH ADAP Statewide database and QS/1 Pharmacy database and then provides feedback about their eligibility and qualifications for ADAP in order to either receive the regular services or bring themselves into compliance as needed through the referral to the ADAP Program staff.
  • Ensures that all patient information residing in the QS/1 database is in compliance and matches the information in the DOH ADAP database as proper ADAP eligibility and qualifications must be met to be able to receive services at the pharmacy; immediately reports any discrepancies to the ADAP Program staff for correction.
  • Coordinates and directs the daily caseload of open and active ADAP patients arriving at the pharmacy by distributing each case to the appropriate staff, according to the referring ADAP Pre-Screening Sites and the specific ADAP transaction, whether first enrollments, re-enrollments, drug updates, and dis-enrollment as appropriate.
  • Assist clients applying to the program for the first time by ensuring that they have all the required documentation before referring them to ADAP Program staff to conduct Patient Care Eligibility Determinations and ADAP Program Enrollments.
  • Provides excellent Customer Service to all existing or prospective clients from the AIDS Drug Assistance Program coming to the ADAP Program and the Pharmacy at the Miami-Dade County Health Department.
  • Treats customers courteously; listens and responds effectively and in a timely manner to customer requests and proactively identifies customer needs.
  • Takes responsibility to resolve complaints; promotes the collection of feedback from customers and commits to exceeding customer expectations.
  • Tracks unit performance metrics to ensure unit meets productivity and quality requirements.
  • Provides DOH ADAP Prescription Dispensing Authorization forms -PDAs- for patients who are current in their DOH Core Eligibility and ADAP Qualifications so the pharmacy staff can proceed with the dispensing of HIV medications in a timely manner.
  • Tracks medications dispensed by entering the pickup information for the medications received by the patients in real time, by entering the information in the database ensuring that it is correct, complete and up to date, including but not limited to patient name, social security or identification numbers, date of birth, address and phone numbers, provider, medications and pick up information, among others, and that it matches both the ADAP and pharmacy databases.
  • Maintains 100 % compliance with confidentiality protocols to safeguard all.
  • Provides guidance and assistance to clients and community case managers due to the new expanded ADAP Program Formulary.
  • Ensure Prescription Compliance through quality assurance activities aimed at reducing the waiting time at the pharmacy.
  • Ensure clients have all the necessary prescriptions upon arrival.
  • Facilitate efficiency by ensuring clients present all prescriptions to pharmacy, all at once, thus reducing delays inside pharmacy when regimens are complete.
  • Uses the Q-Flow Management System to ensure the continued coordination of services for both the ADAP Program and the CHD Pharmacy serving ADAP clients, including but not limited to placing clients in proper program transactions, identifying clients in need of specific protocols (early pickups, waivers, individual special request) but also facilitating proper reporting, identification of issues, and feedback to program Supervisor and Manager.
  • Perform other related duties as assigned.
