Senior Business Operations Manager

ZoomInfo Technologies LLCWaltham, MA
$96,950 - $152,350Hybrid

About The Position

ZoomInfo's product organization runs fast. The Chief Product Officer and his leadership team are making high-stakes decisions, shipping AI-first products, and coordinating across a complex org—all at the same time. Keeping that team operating at its best requires someone who's more than a scheduler. It requires someone embedded in the work. No two weeks look the same, and the person who thrives here finds energy in that rather than friction. You'll sit close to the center of the product org, trusted with context that doesn't travel far, and counted on to make sure things that need to happen actually do. You'll also be one of the most visible people in the org—a culture carrier who brings people together and makes the product team feel like a team worth being part of. If you're a sharp, experienced, proactive executive assistant who wants to work deeply embedded in a leadership team—not just supporting one executive from a distance—this is the role for you.

Requirements

  • 4+ years of experience providing executive support to senior leaders, ideally supporting a team rather than a single executive
  • Experience helping run leadership meetings—agendas, prep, notes, and follow-through on action items
  • Strong written communication: clear, concise, no fluff
  • Highly organized with great attention to detail across multiple moving pieces
  • High degree of discretion; you'll be trusted with sensitive information about the org, its people, and its strategy
  • You don't operate from a distance. You're in the room, in the calendars, in the conversations—and because of that, you always know enough context to make good decisions. You build real relationships with the people you support and with the broader team around them.
  • Leaders don't have to ask you twice, and most of the time they don't have to ask at all. You see what's coming, you act on it, and you quietly close the loop. You're not reactive—you're running a few moves ahead.
  • Whether you're writing a meeting recap, drafting a team update, or asking someone for something they're late on, you communicate in a way that gets things resolved fast. People aren't left guessing what you need or what was decided.
  • You can tell a VP no—gracefully. You protect priorities without being precious about it. You catch flies with honey, handle friction with composure, and never leave someone feeling dismissed even when the answer is no.
  • ZoomInfo moves quickly. You don't just tolerate that, you operate well inside it. When plans change at the last minute, you recalibrate without drama and find a path forward. You bring steadiness and a positive attitude to situations that would frustrate someone who needs things to be tidy before they can act. The pace isn't something you endure—it's something you thrive in.
  • You care about the team around you. You notice when someone deserves recognition, you put real thought into what makes an event worth attending, and you contribute to a culture where people feel connected to each other and to the work.

Nice To Haves

  • Experience with event planning, offsites, or team programming a plus

Responsibilities

  • Help run the recurring meetings that keep the CPO and his staff aligned—staff meetings, reviews, check-ins. That means coordinating agendas with the right people ahead of time, making sure materials are prepared and accessible, and keeping things on track in the room. You're not just managing the agenda; you're the person who makes sure the meeting is worth having.
  • Develop a feel for when someone on the leadership team needs to be looped in, when two people need five minutes together. You're the connective tissue.
  • Make sure decisions made in a leadership meeting reach the people who need to act on them—tracking action items, following up where needed, and helping communicate key updates out to the broader product org in a timely, clear way.
  • Plan team events, offsites, and office gatherings, finding ways to recognize people during big moments (wins, milestones, life events), and helping make the product org feel like a place people are genuinely glad to work. You'll also plan and coordinate leadership offsites and org-wide events, managing the logistics from venue to agenda so the team can show up and be present. You'll be a visible, positive presence across the team.
  • Manage complex calendars across multiple leaders, coordinate domestic and international travel, and handle the logistics that let the leadership team focus on the work. The difference between doing this well and doing it great is judgment: understanding priorities well enough to make good calls on behalf of the people you support, and protecting their time from things that don't deserve it.
