About The Position

The YMCA of Greater Kansas City is one of the largest child care providers in the greater Kansas City area. This position supports that work by leading the business team for Youth Development Services (YDS) — overseeing the processes, systems, and people that keep our child care programs running accurately and efficiently. You'll work closely with YDS program leadership and Finance on financial processes, third-party billing, registration systems, and day-to-day business administration, with a strong emphasis on customer service and adherence to YMCA policies and procedures.

Requirements

  • Bachelor’s degree from an accredited college or university; or an equivalent combination of education and experience.
  • Three years business experience.
  • Experience in supervising a team.
  • Works effectively with people of different backgrounds, abilities, opinions and perceptions.
  • Able to make independent and sound decisions in a fast paced environment.
  • Able to exercise high levels of discretion and confidentiality.
  • Detail oriented with good organizational skills, and be multi-task proficient.
  • Excellent oral and written communication skills.
  • Demonstrated experience in managing multiple projects.
  • Strong computer skills with the ability to adapt to new software.
  • Must maintain a current motor vehicle license and acceptable driving record that meets YMCA standards.

Responsibilities

  • Champion the overall YMCA mission of healthy living, youth development and social responsibility by ensuring business operations are inclusive, ethical and community-focused.
  • Lead, mentor,and develop a high-performing Business Administration team, fostering a culture of accountability, professional growth, and operational excellence.
  • Provides leadership to ensure that YDS business processes are being handled by associates in an efficient and timely manner while communicating regularly with the Associate VP, Finance.
  • Responsible for the development, implementation and evaluation of business processes for Youth Development Services (YDS), and other child care related functions by working closely with Youth Development Services management, Information Technology Services, other Finance team members, and the Associate VP, Finance.
  • Oversees and monitors business processes, including but not limited to, accounts receivable tracking and collection, payment processing, daily cash report and check deposit.
  • Responsible for the financial assistance award and tracking process.
  • Provides support to the Associate VP, Finance for preparation of annual budget for YDS/EL Operations, including data entry.
  • Provides system support to information technology services as requested by the Senior Finance Director to assist in program review, design and setup.
  • Oversees third party billing to Missouri Department of Elementary and Secondary Education (DESE), Kansas Department for Children and Families (DCF), and other third-party payers by maintaining files, submitting billing and reconciling accounts as payments are received.
  • Responsible for training Youth Development associates as it relates to use of the KinderConnect provider portal and the Child Care Business Information Solution tablets for Missouri DESE billing.
  • Manage the technical back-end architecture of the registration platform, including the configuration of complex fee structures, customer discounts, and automated billing to ensure seamless financial processing.
  • Ensures business practices are of the highest quality for participant satisfaction through quality control and audit processes for new registrations, changes and withdrawals.
  • Provides communication to program directors regarding new registrations, changes and withdrawals.
  • Evaluates and updates all forms used on a regular basis to reflect new policies, etc.
  • Create and maintain accessible, user-friendly standard operating procedures and quick-start guides of YDS business processes to ensure consistent system usage across all sites.
  • Provides high level sales software training for key associates.
  • Design and execute comprehensive technical training of the Playground Software System for field staff, and extensive customer service training for the YDS Business team.
  • Actively participate in YDS leadership meetings and advanced customer service training to stay at the forefront of industry standards.
  • Communicates program information to parents and answers questions accurately and with confidence.
  • Maintains ongoing, positive working relationships with Y associates and program participants.
  • Act as a senior escalation point for parent or school concerns, resolving complex billing or program issues with professionalism, empathy, and a solutions-oriented approach.
  • Provides assistance or coverage in the absence of other Business Administration Team members.
