About The Position

The Senior Administrative Coordinator for the Department of Pharmacotherapy at UNT Health Fort Worth – College of Pharmacy provides high-level administrative and operational support for departmental leadership, faculty, staff, students, and affiliated programs/initiatives. Responsibilities include coordinating departmental operations/initiatives, communications, meetings, faculty support activities, financial processes, and records management. This role serves as a primary point of contact for departmental administrative matters and works collaboratively with internal and external stakeholders to support departmental priorities. The position requires strong organizational skills and communication, sound judgment, professionalism, confidentiality, and the ability to manage multiple responsibilities within institutional policies and procedures.

Requirements

  • Bachelor's degree and two (2) years of related experience; or any equivalent combination of education and experience.
  • Exceptional communication and interpersonal skills.
  • Advanced written communication skills.
  • Knowledge of accounting/budgeting procedures.
  • Advanced Microsoft Office skills (e.g., Word, Excel, PowerPoint).
  • Ability to work under pressure, adjust to constant changes, handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgement, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.

Responsibilities

  • Provide high-level administrative and operational support for departmental leadership, faculty, and academic initiatives, including correspondence, scheduling, document preparation, record maintenance, and coordination of daily office activities.
  • Serve as a primary point of contact for the department by welcoming visitors, responding to inquiries, and directing communications to appropriate faculty, staff, or administrative offices.
  • Support faculty administrative processes including onboarding, travel coordination, annual review scheduling, and maintenance of faculty records.
  • Support departmental educational programs and initiatives through coordination of communications, scheduling, documentation, and collaboration with internal and external partners.
  • Coordinate departmental meetings, faculty recruitment activities, educational events, and special projects, including scheduling, communications, materials preparation, and logistical support.
  • Assist with project coordination and tracking of timelines, deliverables, documentation, and follow-up activities for departmental projects and strategic initiatives.
  • Process and monitor departmental expenses, invoices, reimbursements, purchasing requests, and related financial documentation in accordance with institutional policies and procedures.
  • Maintain departmental files, databases, reports, and operational records to support business, academic, and accreditation-related activities.
  • Maintain confidentiality of sensitive personnel, financial, academic, and operational information.
  • Perform additional administrative and operational duties as assigned by the Department Chair.
